Vendor Performance Coordinator
JOB DESCRIPTION
We are currently seeking a Vendor Performance Coordinator, reporting directly to the Head of Vendor Performance Management of T.EN Italy, to join our Vendor Performance Management team based in Rome, Italy.
About the role:
As a Vendor Performance Coordinator, you will play a critical role in ensuring the timely and quality execution of Purchase Orders (POs) by coordinating expediting and inspection activities on projects. You will act as the single point of accountability for assigned supplies, working closely with internal teams, suppliers, and inspection agencies to monitor and improve vendor performance.
- Coordinate shop expediting and inspection activities.
- Verify supply conformity against contractual requirements during PO execution, including execution plans, delivery dates, and manufacturing quality.
- Ensure all required information, documentation, and drawings are available to suppliers as per the manufacturing schedule.
- Analyze supplier-provided information and monitor PO execution progress.
- Review and validate expediting and inspection project deliverables (e.g., Pre-Inspection Meeting reports, Expediting Reports, Inspection Reports, Inspection Release Notes) before distribution to project teams.
- Identify and report slippages or issues impacting deliveries or quality, define recovery actions, and follow up on their implementation.
- Highlight potential critical paths/events that may cause delivery delays and assess their severity.
- Prepare supplier and inspection agency performance evaluations.
- Act as the single point of accountability for assigned POs, resolving pending issues that may impact execution.
- Define expediting and inspection levels based on criticality analysis provided by the project.
- Organize and lead first contact meetings (Hand Over Meetings) with vendors and issue related reports.
- Occasionally perform direct expediting or inspection visits at supplier shops or remotely (desk activity).
- Prepare required project reports and update material tracking software (Smart Plant Material).
- Attend recurrent meetings with vendors and project management teams.

Education and Experience:
- Bachelor's Degree as a minimum (preferred disciplines: Engineering, Quality, or Business Management).
- Preferred: Minimum 2 years of experience in inspection, expediting and/or quality-related coordination activities.
- Experience with material management systems is a plus.

- Professional level of spoken and written English.
- Strong collaboration skills and ability to work effectively in a team.
- Ability to meet deadlines and manage multiple priorities.
- Problem-solving skills related to functional areas with an understanding of the impact on overall business.
