Job Overview:
The Administrator for the oil and gas field is responsible for managing a range of administrative functions to ensure the efficient operation of field activities. This role involves coordinating office activities, handling documentation, managing personnel schedules, supporting procurement and logistics, and providing assistance to the field management team. The Administrator plays a key role in ensuring that field operations run smoothly and in compliance with company policies and industry regulations.
Key Responsibilities:
- Office and Administrative Support: Provide general administrative support to the field team, including organizing office functions, managing correspondence, and maintaining office supplies and equipment.
- Document Control and Management: Maintain and organize field documentation such as contracts, safety reports, equipment logs, project plans, and daily reports. Ensure that all documents are updated, properly filed, and easily accessible.
- Personnel Scheduling and Coordination: Coordinate field personnel schedules, ensuring that labor requirements are met for various tasks and projects. Track employee attendance, time sheets, and leave records.
- Procurement and Inventory Management: Assist with the procurement of materials, equipment, and services required for field operations. Track inventory levels, manage purchase orders, and ensure timely delivery of supplies to the field.
- Reporting and Communication: Prepare regular field operation reports, including status updates, safety compliance, and equipment performance. Serve as a liaison between field teams and the home office, ensuring clear communication.
- Compliance and Regulatory Documentation: Ensure that all field activities comply with local regulations, safety standards, and environmental guidelines. Maintain accurate records of compliance documentation and safety inspections.
- Site Administration: Oversee the organization and management of the field office, including maintaining office facilities and ensuring that employees have the necessary resources to perform their duties effectively.
- Travel and Logistics Coordination: Coordinate travel and accommodations for field personnel, including arranging transport, lodging, and transportation to and from the site.
- Health, Safety, and Environmental (HSE) Support: Assist with the implementation and monitoring of HSE programs and policies in the field. Ensure that field workers comply with safety protocols and report safety incidents as required.
- Budget and Cost Control Assistance: Help monitor project budgets by tracking expenses, managing invoices, and ensuring that all administrative activities align with the project’s financial objectives.
Qualifications:
- Associate’s degree or certification in Business Administration, Oil & Gas Operations, or a related field is preferred.
- 3+ years of administrative experience, with at least 1-2 years in the oil and gas industry or a similar heavy industrial field environment.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), and familiarity with industry-specific software (e.g., CMMS, ERP systems).
- Strong organizational skills with the ability to manage multiple tasks and prioritize effectively.
- Excellent written and verbal communication skills, with the ability to interact with field teams, management, and external partners.
- Knowledge of basic procurement, inventory, and logistics procedures.
- Understanding of health, safety, and environmental (HSE) requirements in the oil and gas industry.
- Ability to handle sensitive information with discretion and maintain confidentiality.
Desired Skills:
- Familiarity with field operations in the oil and gas industry, including drilling, production, or maintenance operations.
- Knowledge of project management processes and documentation in the oil and gas field.
- Ability to work effectively in remote or offshore environments, and in challenging weather conditions.
- Familiarity with financial processes, such as invoicing, budgeting, and cost control.
