NES Fircroft are partnering with a highly successful Australian fabrication business who are looking for a PART TIME OFFICE ADMINISTRATOR to join the team
The Role:
Reporting directly to the Managing Director, the Administration Officer plays a critical role in ensuring the smooth daily operations of the office. This position involves overseeing a range of administrative tasks providing essential support to various areas within the company.
You will be responsible for managing the daily administrative functions of the company. They will provide administrative and office support services across a broad range of activities, including front office, human resources, financial processes, records management, purchasing, facilities, implement policies and procedures and administrative services. They will ensure that the office is running smoothly, and all administrative tasks are completed accurately and efficiently.
Working from their beautiful head office in Bibra Lake, this part-time role offers 25 -30 flexible hours per week.

You will provide administrative and office support services across a broad range of activities, including front office, human resources, financial processes, records management, purchasing and facilities
- Act as the first point of contact, ensuring visitors, clients, and employees are greeted with a professional & polite approach.
- Management of all incoming telephone calls ensure all calls are answered in a professional, polite & timely manner.
- Manage daily office operations, provide general administrative support, including data entry, filing, and correspondence, are completed accurately and efficiently.
- Overseeing internal and external communications including group emails to ensure accuracy and timeliness.
- Coordinate and manage office events and meetings.
- Assist the engineering team with client pre qualification and project compliance documentation.
- Coordinate end-to-end recruitment processes, including job advertisements, candidate screening, interviews, and offer negotiations.
- Oversee onboarding processes, including pre-employment requirements, inductions, and providing new hires with necessary tools and resources.
- Update training records and training matrix ensuring accurate compliance.
- Coordinate training sessions and workshops for employees and managers.
- Work closely with the QHSE Administrator and Management team to support the ongoing improvement and implementation of QHSE policies and procedures, ensuring compliance with relevant standards and legislation.
The Requirements:
- Proven experience in a similar role
- Exceptional customer service and relationship building skills.
- Excellent phone manner and communication skills.
- Excellent time management skills.
- Trustworthy and professional.
Desirable:
- Certificate IV in Business Administration, Human Resources, or related field.
- Quality, Health, Safety & Environmental (QHSE) knowledge and experience.
