Vermilion Energy Netherlands B.V. (Vermilion) is a Dutch company that started operations in 2004. We are active in small fields gas production. The natural gas we extract is provided to Dutch residential and business customers. The Opportunity

Vermilion Energy has an exciting opportunity within the Business Unit, seeking a Document Controller. Based in our Amsterdam or Harlingen office, this role will be an integral part of the organization. A significant portion of the activities aligns closely with the HSE Manager and Engineering Manager. The position works collaboratively with various departments, including HSE, Engineering, Project Management, IT, external contractors, suppliers, and training (VEN Academy).

In this role, you will ensure the effective administration, control, and integrity of both technical and non-technical documents across the company, in alignment with established policies and procedures. Setting up and maintaining an archive, including a partially paper-based system, is a key component of the role. This is a full-time position (1.0 FTE) with preference; however, 0.8 FTE can be discussed. The successful candidate will join a team that values its people and provides work with purpose.

What you will do

As a Document Controller at Vermilion Energy, you will be responsible for the management, control, and continuous improvement of all technical and non-technical documentation. You will work across multiple systems and platforms, supporting teams, projects, and departments to ensure accurate, organized, and accessible information.

Document Control / HSE MS (VEN Organization Management System - SharePoint)
  • Manage, develop, and optimize the HSE MS SharePoint environment, including procedures, specifications, work instructions, and templates.
  • Coordinate and expedite approval processes for management system documents.
  • Issue and assign new document numbers and maintain the master Document Control index.
  • Set up and maintain digital archives (including backups) and ensure document completeness and accuracy.
  • Perform quality checks on document content for efficiency, accuracy, and compliance.
  • Support departments in creating process documentation and provide guidance on structure, storage, and workflows.
  • Monitor system performance, identify areas for improvement, and implement corrective actions.
  • Prepare reports and presentations on system performance and improvement initiatives.
  • Support audits and quality assessments (QA/QC) and advise on process improvements.
  • Coordinate with the VEN Academy to provide updated or new documents for training purposes.
  • Participate in HSE and worksite meetings and prepare presentations when needed.

ERP SharePoint (Emergency Response Plan)
  • Manage and maintain the ERP SharePoint platform for emergency response plans.
  • Set up and maintain archives for Emergency Response documents.
  • Distribute new and updated documents to stakeholders.
  • Recommend system improvements and upgrades.

Technical Document Management:
  • Serve as Master User for technical documents in ProArc and SharePoint.
  • Receive, register, archive, rename, and renumber technical documents and drawings.
  • Manage technical drawings, including red/blue change control.
  • Support technical teams, projects, and departments with filing, storing, and retrieving project documentation.
  • Coordinate with internal departments, suppliers, contractors, and external drafting offices to ensure complete and accurate documentation.
  • Generate reports and indexes, support document requests, and manage the full document control lifecycle.
  • Provide training and guidance on technical document management best practices.
  • Manage the Management of Change (MOC) process in SAP: coordinate and maintain the MOC database, track progress, expedite approvals, close actions, generate reports, support and train users, maintain SAP updates, and recommend process improvements
  • Oversee Enablon Action Plans: manage action plans, monitor deadlines, send reminders, create dashboards and reports, and support users in completing actions.
  • Maintain the Company Archive: set up and manage both digital and paper-based records to ensure documents are accessible, accurate, and properly stored.
  • Drive Continuous Improvement: identify inefficiencies, recommend system and process enhancements, and help ensure workflows are efficient, compliant, and of high quality.

What you will bring
  • College degree required; Master's degree preferred (HBO / WO), with a strong preference for Engineering background.
  • Fluency in Dutch and English, both written and verbal.
