Contract Administrator

Location: Qatar (Onsite)

Role Overview

We are supporting an established industrial operation and are seeking an experienced Contract Administrator to work independently while supporting internal stakeholders across procurement, maintenance, and commercial activities.

This role is ideal for a detail-focused contract professional with strong negotiation skills and experience managing contracts from tender through to close-out in a regulated, asset-intensive environment.

Key Responsibilities

  • Prepare, examine, analyse, negotiate, and administer contracts for the purchase of goods and services
  • Review contractual terms including scope, specifications, pricing, delivery schedules, and commercial provisions
  • Prepare proposals for supply and service contracts
  • Support the preparation of tender and prequalification documentation
  • Coordinate bid requests, evaluations, negotiations, and contractor selection
  • Manage post-award contract administration including change control, claims mitigation, and contract close-out
  • Coordinate kick-off meetings and track contractual authorisations and correspondence
  • Maintain accurate, structured, and auditable contract records
  • Maintain a full audit trail for each contract including agreements, amendments, clarifications, and payment milestones
  • Ensure executed contracts are correctly recorded for invoicing, payment, and accounting purposes
  • Monitor contractor compliance with legal requirements, specifications, and applicable regulations
  • Control contract terms and conditions and review completion certificates and invoice approvals
  • Review contractor-nominated subcontractor lists for acceptability
  • Prepare contract summaries and ensure execution in line with company policies
  • Contribute to the development and improvement of contracting policies and procedures
  • Collaborate with internal teams including maintenance, materials, legal, and finance functions

Qualifications and Experience

  • Bachelor's degree in Mechanical Engineering or equivalent
  • Minimum 7 years experience in contract preparation, administration, and monitoring
  • At least 3 years experience in a supervisory, management, or administrative capacity
  • Experience working with internationally recognised contract management standards such as FIDIC or PMI
  • Experience in industrial, maintenance, or engineering-based environments is preferred

Skills and Competencies

  • Strong contract negotiation and commercial awareness
  • Ability to communicate clearly and effectively in written and spoken English
  • Ability to prepare reports, correspondence, and formal documentation
  • Strong organisational skills with high attention to detail
  • Ability to build and maintain effective working relationships
  • Confident working independently while coordinating with multiple stakeholders

IT Skills

  • Proficient in standard office productivity tools
  • Comfortable working with contract and maintenance management systems
