About the role

Balfour Beatty has an exciting opportunity for a Document Controller to join our team at our Maxim office in Motherwell.

Role Purpose:
  • Manage all Project documentation in compliance with ISO 19650 ensuring accuracy and accessibility for all stakeholders.
  • Maintain confidentiality around sensitive information ensuring accurate information management.
  • To provide subject matter expertise and coaching on the use of common data environment software to relevant project teams and subcontractors.
What you'll be doing

Key Responsibilities
  • Interpret project specific requirements and set up of document review workflows ensuring that procedures are fully implemented to meet compliance requirements for ISO19650 information. management file naming regulation standards.
  • Identify contractual requirements in relation to document control.
  • Ensure accurate control of documentation from pre-construction through to completion and archive.
  • Manage different Review Workflows, consulting closely with the project design manager along with site team, design team, subcontractors, customers, external suppliers.
  • Liaise with project teams, ensuring they have a full understanding of the document control procedure along with the CDE system procedures providing training and instruction as needed for the distribution of project information ensuring that stakeholders receive up to date information.
  • Produce weekly progress reports and actively engage with the design team to ensure all reviews, requests for Information, Issues etc are closed out within the specified time.
  • Provide feedback such that design and project managers are fully aware of all documentation issues.
  • Conduct regular reviews and document audits to ensure compliance and accuracy.
  • Role will involve an element of Site working & office working as determined by project specific requirements.

Who we're looking for

What You Need
  • Excellent Administration skills
  • Ability to manage multiple projects simultaneously.
  • Strong IT literacy - confident working across cloud-based platforms and Microsoft Office (incl. SharePoint & Teams)
  • Understanding of ISO 19650 file naming regulation standards used in documentation control.
  • Experience of working with Common data environment platforms (CDE)
  • Experience of document control within the construction industry desirable
  • Experience using Bim Docs and /or Autodesk Construction Cloud (ACC) desirable.
  • An ability to understand how the operations of the department relate to others and work collaboratively to obtain the best outcome for the business.
  • Strong interpersonal and communication skills.
  • Determination to see tasks through to completion, with excellent planning and organisation and diligence skills.
  • Full clean driving license desirable.
