Job Description Summary

In this role, the Executive Assistant provides high-caliber administrative and operational support to the CES CD Executive Manager. The Executive Assistant anticipates needs, streamlines processes, and drives follow-through on commitments to improve Safety, Quality, Delivery, and Cost.

Job Description

Essential Responsibilities:

In this role, you will work with limited supervision, meet day-to-day short-term objectives, and provide direct support to the CES CD Executive leader.

As the Executive Assistant, you will be responsible for:
  • Calendar and travel: Manage complex calendars, prioritize meetings, arrange travel, and reconcile expenses with high accuracy
  • Meetings and cadence: Plan staff meetings, leadership offsites; prepare agendas, coordinate with operations leader.
  • Communications: Draft emails, presentations, announcements, and memos; handle confidential information with discretion
  • Stakeholder coordination: Serve as a point of contact across internal and external partners; route requests and escalate as needed
  • Process improvement: Identify and implement improvements that enhance leader and team productivity
  • Manage and maintain team documents such as org charts & standard work.
  • Maintain accurate distribution lists for the department.
  • Serve as department go-to for administrative inquiries/support.
  • SWAG, Office Supply & Inventory ordering & management.
  • Support ACE program with monthly payments and tuition payments.
  • Assist with scheduling conference rooms, catering, ad-hoc projects, customer or leader visits, as needed.
  • Own & manage department engagement event planning & execution.
  • Work with other admins across the organization within GE as needed.


Qualifications/Requirements:
  • Minimum of 3 years of administrative support experience.
  • High school diploma or GED


Desired Characteristics:
  • Ability to collaborate cross-functionally with senior leaders, executive assistants, and various teams.
  • Ability to juggle multiple high-priority assignments simultaneously.
  • Ability to handle confidential information and use discretion.
  • Experience working in and navigating computer applications such as SSS, MS Office Suite, MS TEAMS, and Concur.
  • High emotional intelligence and a true team player.
  • Ability to learn and understand policies, practices, and procedures.
  • Strong interpersonal skills and approachable personality.
  • Ability to work independently and proactively solve problems.
  • Ability to pivot quickly to changing priorities and business needs.


This role requires access to U.S. export-controlled information. Therefore, employment will be contingent upon the ability to prove that you meet the status of a U.S. Person as one of the following: U.S. lawful permanent resident, U.S. Citizen, have been granted asylee or refugee status (i.e., a protected individual under the Immigration and Naturalization Act, 8 U.S.C. 1324b(a)(3)).
