The Role

This is an exciting opportunity for a detail‑oriented and organised Proposals Administrator to support the end‑to‑end development of proposal documents, ensuring timely delivery, accuracy, and compliance with client requirements. The ideal candidate will have experience in proposals coordination or administrative support within the engineering, oil & gas, or energy sectors.

The key objectives for this role are:

• Support the full lifecycle of proposal development, from initial request through to submission
• Ensure all proposal documentation is accurate, well‑formatted, and compliant with client requirements
• Coordinate inputs from technical teams, commercial teams, and management
• Maintain and update proposal trackers, templates, and documentation libraries
• Assist in planning deadlines, ensuring timely delivery of all proposal submissions

RESPONSIBILITIES

Key Accountabilities and Responsibilities:
• Coordinate, organise and format proposal documents, including Pre‑Qualification Questionnaires (PQQs), Expressions of Interest (EOIs), and RFP submissions
• Track proposal schedules, deliverables, and internal approval processes
• Liaise with engineering, estimating, legal, and commercial teams to gather required inputs
• Review documents for consistency, clarity, and compliance with branding and client instructions
• Maintain accurate proposal records and data within internal systems
• Assist with layout, graphics, CV formatting, and quality checks
• Support development of standard proposal templates and content libraries
• Participate in lessons‑learned reviews to support continuous improvement

QUALIFICATIONS

Expected:
• Bachelor's degree in business administration, Communications, or related field
• 0-1years of experience in proposals coordination or administrative support, ideally within engineering, oil & gas, or EPC environments
• Strong written English, document formatting, and proofreading skills
• Excellent organisational and time management skills
• Proficiency in MS Office (Word, PowerPoint, Excel); experience with Adobe Acrobat is a plus
• Ability to work under pressure with tight deadlines
• High attention to detail and commitment to quality
• Strong interpersonal and communication skills
