Role Overview:
1. Executive Support
- Provide direct administrative and operational support to the legal entity President and staff
- Manage complex calendars, scheduling, and prioritization of meetings.
- Prepare executive briefings, reports, and presentations.
- Draft and manage executive communications.
2. Leadership Coordination
- Coordinate internal and external meetings with senior leadership, clients, and government or industry stakeholders.
- Prepare agendas, track action items, and follow up with internal stakeholders.
- Support executive decision-making by preparing research and briefing materials.
3. Legal Entity and Office Operations Management
- Oversee daily office operations and ensure a productive workplace environment.
- Manage office policies, procedures, and administrative systems.
- Supervise administrative staff and reception functions.
- Oversees legal entity reporting requirements.
4. Facilities & Vendor Management
- Manage relationships with building management, service providers, and vendors.
- Oversee office budgets related to operations, supplies, and facilities.
- Coordinate office maintenance, equipment, and workplace services.
5. Travel & Event Coordination
- Manage complex domestic and international travel arrangements for executives.
- Coordinate executive events, leadership off-sites, and client meetings.
- Prepare travel itineraries and manage expense reporting.
6. Administrative & Cross-Functional Support
- Partner with HR, Sourcing, Finance, and IT teams on office initiatives.
- Support employee onboarding and internal events.
- Lead or assist with special projects and operational initiatives.
Ideal Candidate:
- The ideal candidate would provide high-level, confidential support to senior leaders while ensuring the seamless operation of the office by effectively managing complex calendars, executive communications, and leadership coordination, while overseeing office administration, facilities, vendors, and budgets to maintain a highly productive work environment.
Required Qualifications:
- Bachelor's degree from an accredited university or college
- Minimum 5 years of administrative support experience
Preferred Qualifications:
- High level of professionalism, discretion, and confidentiality.
- Strong verbal and written communication skills in both English and Korean.
- Ability to manage multiple priorities in a fast-paced environment
