Key Responsibilities

  • Act as the local point of contact for all travel and logistics activities, including scheduling, travel and visa arrangements, accommodation, catering, and transfer coordination for the Repair, Training, and Service departments, including oversight of the NOV driver's schedule.
  • Coordinate with the Repair Team and Stores to facilitate the procurement of goods and services from local vendors.
  • Maintain accurate and up-to-date employee timekeeping and annual leave records, ensuring timely processing and reporting.
  • Monitor and maintain the accuracy of the Training Log and provide support in organizing and coordinating training sessions as required.
  • Prepare, compile, and distribute utilization and other operational reports in a timely and accurate manner.
  • Provide facilities coordination support, including overseeing maintenance activities and managing office and facility supplies.
  • Support all departments with filing and maintaining documentation within Rig Office and other document management systems, ensuring proper record control and compliance.
  • Manage the ordering, tracking, and replenishment of office and facility supplies to ensure smooth day-to-day operations.
  • Ensure full compliance with all Health, Safety, and Environmental (HSE) and Quality policies, processes, and procedures.
  • Provide comprehensive administrative support across all departments as required.
  • Provide coverage for the Administration team during absences and undertake additional duties aligned with administrative team responsibilities, as reasonably assigned by the Line Manager to meet business needs.


Qualifications & Experience

  • 3-5 years of relevant experience in an administrative, logistics, or coordination role, preferably within an operational, service, or industrial environment.
  • Experience with international teams/international companies
  • Microsoft Office proficiency
  • Fluency in Azerbaijani and English
  • Experience working with document control systems (e.g., Rig Office) is an advantage.
  • Basic understanding of HSE and Quality standards within a corporate or industrial environment.
  • Excellent attention to detail and high level of accuracy in record-keeping and reporting.
  • Strong organizational and communication skills


Preferred:

  • Experience with document control systems
  • Knowledge of HSE standards
