Job Title: Corporate Secretarial Officer (Regional Portfolio)

Position Summary
An opportunity is available for a Corporate Secretarial Officer to support a diverse portfolio of local and international entities. The role involves ensuring full statutory compliance, maintaining corporate records, and supporting a range of corporate governance and administrative activities across multiple jurisdictions.
You will work closely with internal teams and external stakeholders to ensure timely regulatory submissions and smooth corporate governance operations.
Key Responsibilities
Corporate Secretarial Support
- Provide end-to-end corporate secretarial support for a portfolio of entities, including local private companies and foreign subsidiaries
- Ensure compliance with statutory and regulatory requirements across multiple jurisdictions
Statutory Filings and Compliance
- Prepare, review, and submit statutory filings to relevant authorities in a timely and accurate manner
- Monitor deadlines for annual returns, financial statements, and other regulatory submissions
- Ensure ongoing compliance with applicable corporate laws and regulations
Statutory Records Management
- Maintain and update statutory registers, minute books, and corporate records
- Ensure proper organisation and safekeeping of both physical and digital corporate documentation
Stakeholder Liaison
- Act as a key point of contact for internal stakeholders, regulators, and external professional service providers
- Coordinate with overseas corporate secretarial teams to ensure compliance with jurisdiction-specific requirements
Corporate Transactions and Support
- Assist with corporate exercises including incorporations, restructurings, changes in directors or shareholders, and other ad-hoc matters
- Provide administrative and operational support to the corporate secretarial function
Continuous Improvement and Compliance
- Support improvements in internal processes and compliance tracking systems
- Stay up to date with regulatory developments and implement changes where required
Requirements
- Diploma or Degree in Law, Business Administration, Corporate Governance, or related field
- Experience in corporate secretarial or company administration roles preferred
- Familiarity with company law and regulatory requirements in Malaysia and/or other jurisdictions
- Strong organisational skills and attention to detail
- Ability to manage multiple entities and deadlines effectively
- Good communication and stakeholder management skills
