You will be responsible for the timely, accurate, and compliant management of documents throughout their lifecycle-from creation and internal review to distribution and archiving. Your primary goal is to ensure project teams have the right information at the right time while maintaining a "zero-error" filing environment.

Key Responsibilities
- System Management: Administer the Electronic Document Management System (EDMS), ensuring all files are correctly tagged, numbered, and categorized according to company standards.
- Quality Assurance: Conduct rigorous "gatekeeping" checks on all incoming and outgoing documents for correct templates, naming conventions, and professional formatting.
- Workflow Coordination: Manage the document review and approval cycle, ensuring stakeholders meet deadlines and comments are consolidated.
- Version Control: Maintain a definitive master document register (MDR) to prevent the use of obsolete or superseded information.
- Distribution & Tracking: Issue formal transmittals to internal teams, clients, and subcontractors, maintaining a clear audit trail of who received what and when.
- Reporting: Generate weekly or monthly status reports on document progress, overdue reviews, and submission statistics.
Technical Requirements
- Education: High school diploma required; Bachelor's degree in Business Administration or a technical field preferred.
- Software Mastery: Advanced proficiency in MS Office (especially Excel) and experience with EDMS platforms (e.g., Aconex, Procore, SharePoint, or Bluebeam).
- Industry Knowledge: Familiarity with ISO 9001 quality management standards or specific industry document control protocols.
- Precision: An eagle eye for detail-you catch the typos and formatting errors others miss.
- Organization: The ability to prioritize high volumes of data in a fast-paced, deadline-driven environment.
- Discretion: Handling sensitive or proprietary information with high integrity and confidentiality.
- Accuracy Rate: Minimal errors in document indexing and metadata entry.
- Turnaround Time: Meeting established SLAs for document distribution and processing.
- Audit Readiness: Maintaining a filing system that passes internal and external audits with zero major non-conformances.
