About the role

We are seeking a Document Controller to join our UKCS Living Places team, based in Southampton, supporting delivery on the Southampton City Council contract.

This is a 12-month fixed-term maternity cover, offering an excellent opportunity to be part of a high-profile local authority contract where effective information management is critical to successful delivery. You will play a key role in ensuring project documentation is accurately controlled, compliant, and readily accessible to project teams, partners and the client.

This role will suit someone who is highly organised, detail-focused, and comfortable working in a fast-paced, collaborative environment.

What you'll be doing

As a Document Controller, you will be responsible for the day-to-day management of project documentation across the contract, ensuring best practice and compliance throughout. Your key responsibilities will include:
  • Managing and maintaining project documentation within the Common Data Environment (CDE)
  • Registering, distributing and tracking incoming and outgoing documents, drawings and correspondence
  • Ensuring document control processes, workflows and naming conventions are correctly applied and adhered to
  • Maintaining accurate internal and external document registers, with full version and configuration control
  • Supporting project teams and supply chain partners with document control systems and processes
  • Carrying out quality checks on documentation to ensure accuracy, consistency and compliance prior to issue
  • Managing document archiving from pre-construction through to project completion and handover
  • Handling sensitive and confidential information in line with contractual and company requirements
  • Working closely with the wider project team to support efficient and timely information flow
Who we're looking for

We're looking for a motivated and reliable professional with experience in document control or information management, ideally within construction, highways or infrastructure environments. You'll bring:
  • Previous experience in a Document Controller or similar role
  • A good working knowledge of document control principles and best practice
  • Familiarity with ISO 19650 and Common Data Environments
  • Strong organisational skills and the ability to manage multiple priorities
  • Excellent attention to detail and a commitment to accuracy
  • Confident communication skills and the ability to work collaboratively with a variety of stakeholders
  • A proactive, supportive approach and willingness to contribute to continuous improvement
Experience working on public sector or local authority contracts would be advantageous, but is not essential.
