About the role

We are looking for a highly organised and detail-driven Document Controller to join our UKCS Scotland business, supporting projects across Aberdeen. This is a key role within our project teams, ensuring that all documentation is managed efficiently, securely, and in line with industry best practice.

As a Document Controller, you'll play a critical part in maintaining the integrity of project information, supporting collaboration across multidisciplinary teams, and ensuring compliance with recognised information management standards. You'll also act as a trusted point of contact for document control processes, providing guidance and support to both internal teams and external partners.

What you'll be doing
  • Managing and controlling all project documentation from pre-construction through to completion and archive
  • Ensuring document control procedures are implemented and aligned with ISO 19650 standards and file naming conventions
  • Supporting the setup and maintenance of document management systems, including Common Data Environments (CDE) and internal platforms
  • Coordinating document workflows, including reviews and approvals, working closely with design managers, site teams, subcontractors, and stakeholders
  • Providing guidance, training, and support to project teams on document control processes and systems
  • Ensuring accurate and timely distribution of information so that all stakeholders are working from the latest documentation
  • Maintaining secure and accessible archiving systems for all project documentation
  • Identifying opportunities to improve information management processes and supporting continuous improvement initiatives
  • Upholding high standards of confidentiality when handling sensitive project information
Who we're looking for
  • Previous experience in a Document Controller or similar administration-based role within a project environment
  • A strong understanding of ISO 19650 standards and document control processes
  • Experience working with Common Data Environment (CDE) platforms and document management systems
  • A basic understanding of BIM and how it supports project delivery
  • Excellent organisational and administrative skills, with strong attention to detail
  • Strong communication and interpersonal skills, with the ability to work collaboratively across multiple teams
  • A proactive and diligent approach, with the determination to see tasks through to completion
  • The ability to manage multiple priorities and maintain high standards in a fast-paced environment
