Your Role and Responsibilities

We are seeking an experienced Executive Assistant who enjoys being the go-to person for coordination and support. As a trusted partner to our regional business line management and local managers, you will ensure smooth day-to-day operations and help push priorities forward.

You will play a key role in managing schedules, organizing executive events, visits and leadership meetings, handling confidential information and communications, and streamlining processes that keep our organization running efficiently. You will also oversee and coordinate the work of a newly established, small outsourced assistant operations team, taking ownership of processes, performance, and continuous improvement. We welcome new ideas and offer you a role where you can bring innovative, modern perspectives to help enhance partnerships across teams and build a culture of collaboration. This position offers the opportunity to work closely with management and different stakeholders.

The role is located in Helsinki, Pitäjänmäki and requires regular on-site work with the possibility of some remote work.

You will mainly be responsible for:
  • Providing comprehensive administrative support to the regional and local management and delivering specific projects
  • Overseeing and coordinating the work of a newly established outsourced assistant operations team
  • Acting as a liaison between different parts of our organization as well as internal and external stakeholders, ensuring clear and timely communication
  • Preparing and organizing meetings, agendas, presentations, correspondence, and other relevant documents, as well as arranging events
  • Implementing processes and initiating continuous improvement of administrative processes and procedures to ensure efficiency and effectiveness
  • Acting as the point of contact for various inquiries, assessing the urgency of issues, and initiating appropriate actions
  • Supporting the unit's Internal Communications Lead in communications activities, such as intranet administration and content creation
  • Engaged collaboration with other Assistants at ABB

Qualifications for the Role:
  • Several years of experience in demanding executive assistant or senior leadership support roles within a large international or global organization
  • At least a Bachelor's degree e.g. in Business Administration
  • Exceptional organizational and prioritization skills
  • Ability to manage multiple priorities in a dynamic environment
  • Strong sense of ownership and a highly proactive working style
  • Strong digital skills and a proactive approach to adopting modern tools and technologies, with a keen interest in improving ways of working through enhanced use of AI
  • Effective interpersonal skills, as well as solid sense of personal responsibility, with an engaged, practical approach
  • Result-oriented and innovative approach, emphasizing partnership and collaboration
  • High level of discretion and integrity, and ability to demonstrate company values and ensure integrity in daily activities
  • Proficient communication skills, both written and verbal
  • Fluency in Finnish and English
