About You:

About The Role:
- Liaise with other department secretaries or person on day-to-day basis to obtain required information / support
- Filter general information, queries, phone calls and invitations to the department
- Coordinate the preparation of the required documentation for department
- Type correspondences and documents upon request
- Update department organization chart
- Support to colleague coordination for administration and services task.
- Record all incoming and outgoing Departments correspondences.
- Expedite and consolidate department resource planning and workload forecast.
- Maintain complete Department filing.
- Format department staff CVs and upload to DRB.
- Dispatch all documents and correspondences prepared within the Department (get the signature of the Project Management and Engineering Manager, check the adequacy, and make photocopies).
- Make and answer phone calls, book conference rooms and assist in the general administration for the team.
- Maintain the Document Register of the Department.
- Archive the Departments file as required.
- To coordinate the preparation of the required project documentation (reports, and correspondence such as typing, compilation and documentation binding).
- Assist Project Management and Engineering Manager on general administrative and secretarial tasks.
- To remind the Project Management and Engineering Manager of any meetings and appointments.
- To organize any refreshments for the official visitors of the Project Management and Engineering Manager.
About You:
- Bachelor's degree in business administration, Arts, Humanities or relevant
- Fresh graduate or at least 1 years experience as a secretary or relevant field.
- Good computer and MS Office skills (Word, Excel, Power Point and Outlook)
- Good communication and interpersonal skills
- Strong knowledge of written and spoken English.
