Key Job Responsibilities

Contract Administration and Support
  1. Provide analytical and administrative support to procurement colleagues in relation to contract management activity, including monitoring contract usage, pricing compliance and supplier performance data.
  2. Support category leads and clinical procurement specialists during tendering, contract review and supplier engagement activity by providing accurate data and analysis.
  3. Assist in maintaining contract records and documentation within Trust procurement systems in line with agreed procedures.

Data, Reporting and Financial Monitoring
  1. Analyse Trust-wide procurement and contract expenditure, contract usage and supplier data to support procurement activity, financial monitoring and value for money objectives.
  2. Produce routine and ad hoc procurement reports, dashboards and savings trackers for procurement managers, category leads, finance colleagues and budget holders.
  3. Work with finance to support reconciliation of procurement savings, expenditure trends and financial reporting.
  4. Ensure procurement data is accurate, validated and fit for purpose, identifying discrepancies and escalating issues appropriately.

Governance and Compliance
  1. Support compliance with Trust procurement policies, Standing Financial Instructions and relevant procurement regulations through accurate data management and reporting.
  2. Maintain contract records and supplier data within Purchase to Pay and eProcurement systems in line with agreed governance arrangements.
  3. Support data integrity across procurement systems, working with Procurement colleagues to resolve data quality issues.
  4. Handle procurement information in line with information governance, confidentiality and data protection requirements.

Communication and Stakeholder Engagement
  1. Communicate procurement and analytical information clearly and professionally to a range of stakeholders, including procurement colleagues, finance teams, clinical staff and budget holders.
  2. Adapt communication style to ensure complex procurement and financial information is accessible to non-specialist audiences.
  3. Attend meetings with internal and external stakeholders as required, supporting senior procurement colleagues by contributing analytical insight.

Teamworking and Development
  1. Work collaboratively as part of the Procurement team to support shared objectives and service delivery.
  2. Provide informal day-to-day support and guidance to new starters, contributing to consistency and quality of analytical outputs.
  3. Actively contribute to team learning, service improvement initiatives and the development of more efficient procurement processes, in line with NUH values and behaviours.

Line Management
  1. This post does not carry formal line management responsibility.
  2. The postholder may provide informal support or mentoring to colleagues as required but will operate within defined supervisory and management structures.

Person specification

Communication and Relationship Skills

Essential criteria
  • Ability to communicate complex analytical information clearly.
  • Good written and verbal communication skills, able to liaise with a range of internal and external stakeholders.
  • Ability to present information clearly in reports or spreadsheets.

Training & Qualifications

Essential criteria
  • Educated to degree level or equivalent extensive experience in an analytical role.
  • A-levels or equivalent qualification.
  • Advanced knowledge of Microsoft Excel
  • Evidence of continuing professional development relevant to contracting, procurement or data.

Desirable criteria
  • Relevant postgraduate or professional procurement qualification (e.g. CIPS, MSc, MBA).

Experience

Essential criteria
  • Substantial experience of interpreting and analysing complex data.
  • Experience of using information systems to manage, analyse and report data.
  • Experience of working with figures and demonstrating strong numeracy.

Desirable criteria
  • Experience supporting projects through analytical input.

Analytical and Judgement Skills

Essential criteria
  • Strong analytical mindset with attention to detail.
  • Report writing and dashboard creation skills.
  • Highly numerical with an analytical mind-set.

Desirable criteria
  • Experience of report writing, dashboards or data automation tools.

Planning and Organisation Skills

Essential criteria
  • Ability to identify issues in processes and contribute to improvements.
  • Ability to communicate complex statistical information to senior managers.

Salary: The quoted salary will be on a pro rata basis for part time workers.
