Procurement Administrator - Part Time (20-25 hours per week) over 5 days

The Procurement Administrator will support the day-to-day procurement activities required to ensure the efficient operation of the business. The role will coordinate the purchasing of materials, equipment, and services required across the organisation, including solar PV components, operational equipment, and business services.

Working closely with Operations, Finance, and other internal departments, the role will ensure that goods and services are sourced, ordered, and delivered in a timely and cost-effective manner.

Strategic procurement direction and supplier strategy will be supported through collaboration with senior leadership where required.

Key Responsibilities:

Procurement Operations
  • Manage day-to-day purchasing of materials & services.
  • Raise purchase orders and ensure procurement transactions are accurately recorded.
  • Track supplier orders and maintain clear visibility of delivery schedules.
  • Liaise with suppliers to confirm order status, shipment details and delivery timelines.
  • Support the coordination of procurement activities across multiple projects.

Supplier Coordination
  • Maintain relationships with existing suppliers and act as the primary operational contact for orders and delivery coordination.
  • Request quotations and support supplier selection in line with internal procurement processes.
  • Assist with negotiating pricing for standard purchases where appropriate.
  • Support onboarding of new suppliers and maintain supplier records.
  • Conduct supplier performance reviews

Logistics & Project Coordination
  • Work closely with the Operations team to ensure materials are available in line with project schedules.
  • Monitor potential supply chain delays and proactively escalate risks to operations.

Cost & Procurement Administration
  • Maintain accurate procurement documentation including purchase orders, supplier quotations and contracts.
  • Monitor procurement spend against project budgets and highlight any variances.
  • Negotiate cost savings wherever possible.
  • Support Accounts Payable with invoice matching and supplier payment processes.
  • Produce basic procurement reports when required.

Quality & Compliance
  • Ensure purchased components meet required specifications and certifications.
  • Support adherence to company procurement processes and approval thresholds.
  • Maintain records to support audit and compliance requirements.

Skills & Experience:

Essential
  • Experience in procurement, purchasing or supply chain administration.
  • Strong organisational skills and attention to detail.
  • Experience managing purchase orders, supplier communication and delivery tracking.
  • Ability to coordinate multiple orders and suppliers simultaneously.
  • Strong communication and stakeholder coordination skills.

Desirable
  • Experience in renewable energy, construction, engineering or infrastructure sectors.
  • Familiarity with solar PV components and supply chains.
  • Experience using procurement or ERP systems.

Success Measures
  • Timely ordering and delivery of materials required for project execution.
  • Accurate procurement records and purchase order management.
  • Strong coordination between suppliers, finance and operations.
  • Effective management of procurement administration and supplier communication.
