Derby City Council are offering the opportunity to join our Procurement Team to assist a in delivering value for money for the people of Derby.

You will manage a wide range of enquiries from inside and outside of the Council, and provide excellent administration, IT and customer service skills.

You will support the Principal Procurement Officers and Procurement Support Officers in the administration of procurement exercises including the use of the Council's e-tendering system. Experience of obtaining quotations/ tenders for goods or services is desirable but not essential.

It is essential that you are qualified to A' level standard or equivalent and you have a range of good IT and communication skills.

The Opportunity
In the role of Procurement Assistant, here's an example of what you'll be doing to make an impact:
• Supporting the delivery of procurement projects by helping run tender and quotation processes, including using e-tendering systems, preparing documents, and coordinating evaluations.
• Maintaining and updating IT systems to ensure accurate, up-to-date data is available to support reporting, decision-making, and efficient processes.
• Acting as the first point of contact for both internal colleagues and external suppliers, responding to queries and guiding them through procurement processes.
• Managing day-to-day contract administration, including coordinating approvals, maintaining records, and supporting the contract signing process.
• Assisting with sourcing activities by gathering quotes, researching suppliers, and advising on appropriate purchasing routes.
• Maintaining accurate data, reports, and performance information to support decision-making and improve procurement efficiency.
• Supporting financial and approval processes by ensuring the correct procedures are followed and escalating issues when needed.
• Providing general administrative support to the procurement team, including organising meetings, preparing documentation, and contributing to continuous improvement.

About You
To be successful in this role, you'll ideally have...
• Experience handling enquiries via phone and email, with the ability to provide clear, helpful advice to a range of stakeholders.
• Experience using IT systems to manage and process information, with strong skills in tools such as Excel and Word.
• Confidence supporting administrative processes, maintaining accurate records, and working with data to a high level of detail and accuracy.
• Strong communication skills, both written and verbal, with the ability to explain processes clearly to internal colleagues and external suppliers.
• Good organisational skills, with the ability to manage your own workload, prioritise tasks, and meet deadlines in a fast-paced environment.
• The ability to work both independently and as part of a team, contributing positively and supporting colleagues when needed.
• A proactive approach, using your initiative to resolve queries and improve ways of working.
• A qualification at A-level (or equivalent), demonstrating a solid foundation for administrative or business support work.
