Job Summary
The Project Operations Manager is responsible for the planning, implementation and tracking of all sales department orders from the point of submittal to project commissioning and close-out while optimizing the project profit. This position oversees the project management team employees and must have demonstrated management, technical, organization and communication skills. Further, this position is responsible for addressing and resolving technical issues that arise during the project.
Essential Job Functions
Manage the Project Team
- Manage the attendance and productivity of the sales coordinator and sales administrator positions
- Conduct performance reviews and address personnel issues with the team
- Organize project team responsibilities to meet department objectives
- Maintain a positive and collaborative atmosphere within the project department
- Maintain a positive and collaborative atmosphere with other ACF departments
- Maintain a positive and collaborative atmosphere with customers and vendors
Execute the project according to the project plan
- Review project requirements both technically and procedurally.
- Develop and complete forms and records to document project activities
- Interact with customers as well as electrical and mechanical engineers at the technical level, as required, and ensure that all project information is appropriately documented
- Monitor the progress of the project, review the quality of the work completed with the project team, and adjust as necessary
- Monitor administrative responsibilities/activities, such as invoice management, report management, and creating purchase orders
Control the project
- Monitor reports for sales team and management- backlog, bookings, open orders, ready to invoice, among others.
- Communicate project milestones with customers
- Monitor project costs and alert sales team and/or management of any variances
- Ensure invoices are received from vendors and invoiced to customer in a timely manner
- Document and execute any change orders during the project
Close and evaluate the project
- Ensure that the project deliverables are on time, within budget and at the required level of quality
- Ensure accurate information is provided to the service department for startup procedures, training and maintenance agreements
- Ensure required project close-out documents are provided to the customer.
- Ensure project is invoiced properly and in its entirety, including any change orders.
Additional Job Functions
- Will be required to support the sales department to meet business needs
- Evaluate and reestablish yearly work goals
- Provide and implement continuous improvement practices
Experience and Skills
Required Knowledge, Skills and Abilities (including physical and work environment)
- Knowledge of project management in the power generation industry or related field
- Technical understanding of power generation products and their application
- Proficiency in the use of computers for: MS Office products, email, internet, basic accounting, business systems and portals such as GenServe or GenConnect, project management software (i.e., Gantt charts),
- Demonstrated skills with project management tools and methodologies, software platforms, and problem solving
- Demonstrated ability to manage multiple projects. Ability to meet stated customer-initiated deadlines
- Communicate effectively: speak, listen and write in a clear, thorough and timely manner using appropriate and effective communication tools and techniques.
- Creativity/Innovation: Develop new and unique ways to improve operations of the organization and to create new opportunities.
- Foster teamwork: work cooperatively and effectively with others (internal and external) to set goals, resolve problem, and make decisions that enhance organizational effectiveness.
- Lead: positively influence all persons supporting projects to achieve results that are in the best interest of the organization
- Make decisions: assess situations to determine the importance, urgency and risks, and make clear decisions which are timely and in the best interests of the organization.
- Organize: set priorities, develop a work schedule, monitor progress towards goals, and track details/data/information/activities.
- Solve problems: assess problem situations to identify causes, gather and process relevant information, generate possible solutions, and make recommendations and/or resolve the problem.
Minimum Job Qualifications (education, work experience, licenses/certifications)
- University Degree in a related subject with 2-3 years project planning OR 3-5 years of demonstrated relevant experience in the power generation industry.
- 1-3 years of prior management experience
- Engineering or related technical experience
