Job Description Summary

This role is responsible for overseeing and standardizing administrative processes related to travel, supplier regulatory compliance, and internal fleet operations, ensuring accuracy, efficiency, and compliance in all activities. Additionally, the Logistics Specialist will plan, coordinate, and ensure the successful execution of all company-organized events and will implement lean manufacturing for process continuous improvements.

Job Description

Brief Description:

This role is responsible for overseeing and standardizing administrative processes related to travel, supplier regulatory compliance, and internal fleet operations, ensuring accuracy, efficiency, and compliance in all activities. Additionally, the Logistics Specialist will plan, coordinate, and ensure the successful execution of all company-organized events and will implement lean manufacturing for process continuous improvements.

Main Responsibilities:

Supplier Documentation and Compliance Management:
  • Streamline documentation processes and ensure compliance with supplier regulatory requirements.
  • Ensure all paperwork adheres to internal policies and external legal requirements.
  • Manage in our MRP system the purchase requisition, purchase order and vendor onboarding process.

Internal Fleet Management Coordination:
  • Supervise internal fleet operations, ensuring compliance with safety standards, operational efficiency, and cost-effectiveness.
  • Collaborate with internal teams to ensure proper administration of corporate vehicles.

Company events:
  • Plan, organize, and execute internal and external events, ensuring flawless logistics and a positive participant experience.
  • Coordinate engagement events, hobbies, large-scale meetings, client events, leadership symposiums, and Kaizen events.
  • Supervise vendors and resources required for event execution.
  • Actively participate in operational logistics.
  • Plan, track, and control the engagement budget.
  • Design and create event communications, ensuring clarity and precision.


Requirements:
  • Bachelor's degree in administration or a related field.
  • Experience in logistics management and corporate event organization.
  • Vendor management and standardization.
  • Proficiency in Excel and PowerPoint (experience with Canva and survey tools is a plus).
  • Knowledge of travel and living management systems (CONCUR experience is a plus).
  • Familiarity with supplier regulatory compliance processes and documentation management.
  • Strong coordination skills and effective communication in both Spanish and English.
  • Highly proactive individual with a problem-solving attitude and the ability to manage multiple events simultaneously.
  • Ability to work under pressure.
