About The Role:

Reporting to change and transformation manager Amy McNamara, supporting Divisional Managing Directors across the OCS Group across the UK & Ireland, the successful candidate will co-ordinate the change and mobilisation activity pipeline to enable the business to deliver change management objectives in line with our 5yr strategic vision and plans and enable mobilisations to perform in line with the contract from go live.
This will include working closely with senior internal stakeholders and operational teams to ensure all aspects of change management & mobilisation are covered to the required quality, legislative and compliance standards.
The role requires the candidate to work to agreed standards and methodology ensuring that change projects & mobilisations deliver the expected benefits on time, to the expected quality standards, and within the agreed budget. This includes the preparation and maintenance of all project documentation, project plans, risk and issue logs, reporting requirements and presentations. Overall management of mobilisation pipeline activities, deliverables, and resource. The role will actively support qualified Project Managers in delivering complex mobilisations and will from time to time dependent on experience offer opportunities to self deliver smaller single service contracts. These opportunities will be part of the development planning process and only offered when considered safe to do so and all parties are comfortable.
You will be competent in managing large volumes of documentation, multi-tasking, matrix management meeting deadlines. An engaging and clear communicator, you will instill confidence and belief in our clients internal stakeholders and operational teams; your communication skills will enable you to build long-standing collaborative relationships with stakeholders and colleagues alike. You will be a driver for excellence, quality and innovation.

There will be an expectation for the post holder to spend the bulk of their time working from our offices in Ipswich. However, travel (funded) may be required from time to time to contract sites to support the mobilisation of new contracts and or attend client and or internal meetings. The Mobilisation team provide outstanding support to our business and customers, Monday to Friday, 08:00-17:30 however, flexibility to meet the needs of the business is essential.

- Supporting the Change and Mobilisation project team in the delivery of the team's objectives and goals
- Supporting PM's in project delivery for Mobilisation / Change & Transformation / Post M&A integration / Large Bid Production
- Ensure the continual development and maintenance of the administrative functions and processes within PMO team, including monitoring progress and completion of project plans and specific tasks, processing mapping, project plan template builds & maintenance and producing supporting user guides.
- Seamless project support / co-ordination of project tasks.
- Timely delivery of key documentation in relation to project plans.
- Creation and delivery of innovative solutions to streamline systems and processes.
- Undertaking reporting duties as necessary.
- Supporting the Project Managers and Directors as required.
- Relationship building across the business with key stakeholders.
- Providing weekly updates to HOD's and HOP on pipeline & on works undertaken and completion rates.
- Personal development - The successful completion and accreditation of PRINCE 2 practitioner (agile or pure PRINCE 2), APM project support level accreditation.
Suitable candidates will demonstrate the following skills and experience:
- Management and production of business reporting to HOD's / Department leads to enable timely resource planning and supply chain arrangements
- Management of pipeline bid & plan submissions and plan provision to Bid team
- Support of PMO and PM's in contract mobilisations and change programs
- Timely, efficient and accurate project administration support as standard.
- Outstanding communication skills and relationships built across the business with all key stakeholders.
- Delivery and maintenance of comprehensive process-mapping / Mobilisation, Transition and Transformation template creation and maintenance.
- Creation of informative, concise user guides and associated departmental training materials.
- Measurable input in successful, winning project plans.
- Excellent feedback from key stakeholders across the business regarding deliverables and quality.
- Qualification attainment within PRINCE 2 and APM as outlined above
- Fully competent in MS products including but not limited to MSOffice project and or smart sheets experience.
