Key Responsibilities

Project Management & Coordination

• Coordinate, plan, and deliver projects and sub-projects of medium to high complexity.
• Ensure end-to-end project execution in line with defined objectives, scope, and constraints.
• Support and perform PMO-related activities across multiple projects.

PMO & Governance Activities

• Perform PMO tasks such as risk management, dependency tracking, and configuration management.
• Plan, moderate, and document project meetings, steering committees, and workshops.
• Maintain and update project-related databases and reporting structures.

Planning, Controlling & Reporting

• Create, maintain, and manage project plans, schedules, and structures using:
• MS Project
• SharePoint
• Atlassian Jira
• Perform project controlling with regard to:
• Timelines and milestones
• Requirements and deliverables
• Dependencies and change requests
• Budget and resource usage
• Ensure transparent reporting and traceability of project status.

Stakeholder & Communication Management

• Manage internal and external stakeholders.
• Identify, manage, and resolve goal conflicts and competing interests.
• Prepare and deliver reports, presentations, and decision documents for governance bodies.
• Support structured communication and escalation processes.

Administrative & Organizational Support

• Coordinate appointments and meetings.
• Support quality assurance activities.
• Support onboarding and offboarding of project staff.
• Maintain and reconcile project-related lists and documentation.
• Create templates, guidelines, and standardized project documents.

Special Assignments

• Support project leadership with special topics, analyses, and ad-hoc assignments as required.

Required Qualifications

Language Skills

• German: C1 level according to CEFR
• Proof not required if German is the native language

Education & Professional Background
One of the following:

• Completed degree in Computer Science, Business Informatics, or another IT-related discipline
• Recognized vocational training in an IT profession
• Alternatively, at least 8 years of professional experience in the IT environment

Project Management Knowledge & Certifications

• Proven experience in classical and agile project management
• One or more of the following certifications (or equivalent qualifications):
• IPMA Level C
• PMI PMP
• PRINCE2 Practitioner
• Scrum PSM / PSPO
• PMI CAPM
• If certificates are time-limited, they must be valid at the time of submission.
• Equivalent qualifications may be accepted if comparable expertise is demonstrated.

Tools & Technical Skills

• Strong experience with:
• MS Project
• MS Outlook
• MS Visio
• MS Word, Excel, PowerPoint
• SharePoint
• Atlassian Jira

Professional Experience Requirements

• At least 4 years of professional experience in:
• Organizing or managing projects of medium to high complexity
• PMO environments within the IT sector
• Applying standard project management methodologies
• Experience must be continuous, recent, and substantial.

If project references are required, they should include:

• Industry
• Project title
• Short project description
• Duration of engagement
• Detailed description of tasks and responsibilities performed
