Detailed job description and main responsibilities

DUTIES AND RESPONSIBILITIES

1. PROJECT MANAGEMENT
1.1 Plan, coordinate, and deliver projects within the TYA Network work plan to ensure agreed objectives, milestones, and outputs are achieved.
1.2 Analyse and interpret qualitative and quantitative data, including audits, process mapping, and root cause analysis, to identify issues and propose solutions that support effective project delivery.
1.3 Develop, maintain, and utilise effective working relationships with clinical and non clinical stakeholders across the region to support engagement in TYA service improvement.
1.4 Identify, assess, and manage project risks and issues, escalating through the TYA Network governance structure to ensure safe, timely, and compliant project delivery.
1.5 Liaise with enabling services such as Operations, IT, Finance, and HR to progress project actions requiring specialist expertise.
1.6 Attend and contribute to Network meetings, forums, and working groups to ensure accurate communication of project activity and requirements.
1.7 Manage and coordinate Network communications through appropriate platforms, including the website, LinkedIn and other media, to ensure accurate and timely dissemination of project and service information.
2. REPORTING
2.1 Produce, maintain, and present regular project progress reports for senior colleagues to support monitoring, assurance, and informed decision making.
2.2 Prepare formal project reports for executive level groups, detailing progress, risks, issues, and required mitigations to support organisational oversight.
2.3 Provide regular updates to the Senior Leadership Team (SLT) working groups to support planning and coordination of Network activity.
2.4 Attend, present, and contribute to the TYA Network Oversight Group and other key meetings to ensure project information is accurately represented.
3. POLICY, SERVICE DEVELOPMENT AND GOVERNANCE
3.1 Develop and propose revisions to guidance, policies, standards, and quality assurance processes to support continuous improvement in TYA services.
3.2 Comply with and contribute to information governance and security processes to ensure safe and appropriate management of information.
3.3 Participate in and contribute to quality management systems, including audits, to support improvement of systems, processes, and service delivery.
3.4 Facilitate and coordinate meetings, workshops, and engagement sessions to progress project activity and support collaborative problem solving.
3.5 Engage and influence stakeholders to participate in audits, service development, and implementation of agreed policies and standards.
3.6 Present findings, outputs, and lessons learned at meetings and events at regional and national level to support shared learning and dissemination.
4. HUMAN RESOURCES
4.1 Provide line management for Network Administrative and Project Support staff, including Graduate Management Trainees, to ensure efficient delivery of administrative and project support to the Network.
4.2 Support staff development through appraisal processes and use of appropriate workforce development frameworks to enable continuous improvement of skills and performance.
5. FINANCIAL AND PHYSICAL RESOURCES
5.1 Manage and monitor budgets allocated to the PMO by planning, forecasting, and identifying opportunities to maximise value for money.
5.2 Use and maintain IT systems, digital tools, and network hardware in line with security and governance requirements to ensure safe and effective management of information.
5.3 Liaise and negotiate with internal and external stakeholders to ensure project delivery aligns with agreed financial, operational, and contractual parameters.
6. LEADERSHIP AND DEVELOPMENT
6.1 Demonstrate leadership behaviours consistent with TYA Network values to support a positive, collaborative, and high performing culture.
6.2 Participate in continuing professional development, including internal and external training, to maintain and enhance knowledge and skills relevant to the role.
6.3 Undertake any other duties commensurate with the grade and scope of the role to support delivery of TYA Network objectives.

Qualifications

Essential criteria
  • Educated to Degree level in a relevant post graduate study or equivalent experience.

Desirable criteria
  • Project Management Qualification (PMQ, MSP or equivalent)
  • Evidence of continuing professional development.

Experience

Essential criteria
  • Experience of working on a project in a healthcare organisation.
  • Experience in process mapping and identifying improvement opportunities.
  • Experience of complex data analysis and presentations to diverse stakeholders.
  • Experience of managing confidential and sensitive data.
  • Experience of influencing internal stakeholders to deliver outcomes

Desirable criteria
  • Experience developing guidance, policies, standards, and quality assurance.
  • Experience influencing external stakeholders in large, complex organisations to deliver outcomes across organisational boundaries. Line management experience, the experience of building teams, and experience of facilitating professional development.
