About the role
Support Design Managers with project coordination, planning, reporting and administration across live projects and wider business priorities.
Assist with the preparation and maintenance of programmes of work, scopes of work and deliverables schedules, liaising with project teams and Project Co-ordinators as required.
Arrange and attend project meetings, workshops and review sessions, recording actions, tracking decisions and following up on agreed next steps.
Liaise with design consultants, client representatives and internal teams to coordinate design progress and support timely project communication.
Prepare and maintain workload, forecasting and project performance information, including trackers, templates and reporting packs.
Support project setup, mobilisation and routine project control activities, including system administration, approvals, data checks and reporting downloads.
Assist with cost and fee administration, including fee drawing arrangements, invoicing information, cost tracking and resolving gaps in project system data.
Maintain accurate and well-organised records of project change, supporting Design Managers with change control processes and ensuring information remains current and accessible.
Monitor sub-consultant fees and invoices, supporting routine commercial administration where required.
Provide flexible support across project and business activities in response to agreed priorities, contributing effectively and delivering value for time spent.

About you
• Strong organisational skills, with the ability to coordinate tasks, maintain accurate information and follow agreed processes consistently.
• Clear written and verbal communication skills, with confidence liaising with internal teams, Project Co-ordinators, consultants and client representatives.
• Good attention to detail, particularly when preparing trackers, schedules, reports, meeting notes, fee information and project records.
• Ability to manage competing priorities, work to deadlines and provide reliable support across multiple project and business activities.
• Comfortable working with project data, including workload, forecasting, performance monitoring, invoicing and sub-consultant fee information.
• Collaborative and proactive approach, with a willingness to learn design management processes, project controls and commercial administration.
• Professional discretion when handling commercial, fee-related or confidential project information.
• Proficiency in Microsoft 365 and shared digital environments, with the ability to produce clear documentation and maintain reliable project records.
