Matter Initiation & Fee Arrangement Management
- Confirm fee arrangements with the Responsible Partner and client, ensuring clarity on scope, pricing structures, billing mechanics, and any trigger-based invoicing.
- Ensure the matter is fully opened in the firm's systems for time recording and reporting, including establishing agreed rates, task codes, phases, and budgets for all fee earners.
- Manage any required time transfers from other matters, ensuring time is recorded against the correct matter ID and task codes, and notify all relevant time recorders of updated instructions.
- Ensure all systems and internal records align accurately with the agreed fee arrangement.
Reporting & Financial Tracking
- Develop a suite of branded, client-ready, standardised reports to provide regular updates to clients and internal stakeholders. Finalise layouts and content in close collaboration with direct supervisor, the Director of Administration, and relevant Partners.
- Produce internal reports tracking total time spent against budget, highlighting progress, run-rate, and any potential financial risks.
- Investigate any overspend or significant variance, analysing potential scope creep and identifying out-of-scope work. Communicate insights to the Pricing team to support future fee modelling and scoping improvements.
Billing & Invoice Management
- Lead the end-to-end billing process upon completion of the financing round or relevant project stage.
- Collaborate with the Account Manager to draft invoices in accordance with the fee agreement, ensuring clarity, accuracy, and consistency with ongoing fee updates.
- Obtain approval from the Responsible Partner before finalizing and issuing invoices to the client.
- For trigger-based invoices, obtain client agreement via DocuSign and ensure correct documentation and approvals are in place.
- Maintain and regularly update the internal Trigger Invoice Tracker, ensuring visibility for all relevant stakeholders.
Trigger Event Monitoring
- Maintain market awareness by regularly checking for public announcements of closed financing rounds and sale transactions, and promptly alert internal stakeholders of any relevant developments.
- Send Trigger Cadence emails to all relevant stakeholders to ensure continued client connectivity and visibility of potential trigger events.
- Conduct regular searches of databases, online platforms, and search engines for trigger events that may activate deferred fee arrangements and manage any subsequent billing and collection processes.
Team Support & Cross-Department Collaboration
- Support the Finance and Business Support functions by gaining knowledge of other processes and assisting colleagues when capacity allows.
- Build strong working relationships across departments and promote collaborative, solution-oriented ways of working.
- Contribute to a first-rate, value-added service to both internal and external clients, ensuring best practice, consistency, and excellence in delivery.
- Demonstrate a strong commitment to professionalism, teamwork, excellence, ownership, and accountability.
- Support team awareness of practice technology and LPM trends across the industry.
