The Role
This role is responsible for overseeing the movement, storage, and control of materials and equipment, ensuring that all inbound and outbound shipments are executed safely, efficiently, and in compliance with regulatory and project requirements. The Materials and Logistics Specialist will coordinate closely with procurement, expediting, project management, and external logistics partners, including customs brokers and freight forwarders, to manage importation, exportation, and local distribution activities.

RESPONSIBILITIES
Typical responsibilities
- Manage all materials and logistics operations for assigned projects, ensuring on-time delivery and compliance with applicable laws, procedures, and internal standards.
- Coordinate the receipt, storage, preservation, and dispatch of materials across warehouses, suppliers, and project sites.
- Oversee importation and exportation activities, including preparation and review of shipping documentation (commercial invoices, packing lists, certificates of origin, etc.).
- Collaborate with customs brokers and freight forwarders to ensure all shipments are processed efficiently and duties, taxes, and tariffs are correctly applied and paid.
- Ensure compliance with all international trade, import/export, and customs regulations.
- Track all shipments and provide accurate and timely updates to the Procurement and Project teams on delivery status and expected arrival dates.
- Maintain and update data in the ERP system (Oracle, SAP, or equivalent) for all goods receipts, shipments, and inventory transactions.
- Identify and resolve material shortages or surpluses and coordinate corrective actions with buyers and expeditors.
- Maintain control of inventory using best practices (e.g., FIFO, Kanban, cycle counts, and periodic stock checks).
- Prepare and distribute Inventory Status Reports and logistics reports to project stakeholders and clients.
- Support the marshalling, packaging, and labeling of equipment and materials for shipment to site.
- Work closely with QA/QC and HSSE to ensure materials are properly handled, preserved, and stored.
- Promote safety, efficiency, and compliance in all materials handling and transportation activities.
- Maintain fully auditable documentation for all logistics and materials management activities.
QUALIFICATIONS

Expected:
- 3+ years of experience in materials management, logistics, or supply chain operations, preferably in EPC, industrial, or energy-related projects.
- Solid understanding of import/export procedures, shipping documentation, and customs clearance requirements.
- Experience working with freight forwarders, brokers, and carriers to manage international shipments.
- Hands-on experience with ERP systems (Oracle, SAP, or Maximo) and materials tracking tools.
- Familiarity with inventory control systems and warehouse operations.
- Knowledge of Incoterms, trade compliance, and international logistics regulations.
- Strong communication and coordination skills with the ability to manage multiple stakeholders.
- Proficient in Microsoft Office (Excel, Word, Outlook, PowerPoint).
- Forklift certification, Dangerous Goods, or IATA/IMDG training preferred (not mandatory).
- Import/export documentation and customs coordination
- Freight forwarding and logistics planning
