Job Description:

Original BP title - Inventory Controller LSC National Senior Analyst

Job Purpose -

  • To provide support to the Lubricants Business by ensuring stock integrity and accuracies via daily & monthly stock counts and reconciliation.
  • To ensure that physical and JDE book stock are aligned.
  • Assist with the clearing out of redundant or damaged stock in the warehouse.
  • This is an operational role that is required to ensure that JDE system stock accurately reflects the physical stock position in the warehouse.
  • To ensure that any physical stock losses and damages are recovered from the responsible party.
  • Tracking and management of in-transits.

Key Responsibilities-

Ensure stock integrity and accuracy through monthly stock counts at Durban Hub and other LSC depots.

Align JDE Book and physical stock via reconciliation processes.

Manage safe disposal of non-conforming inventory, obtain disposal certificates, and process inventory adjustments per LSC requirements.

Raise invoices for third-party repacking of damaged products accurately and on time.

Raise third-party claims for in-transit damages and product loss accurately and on time, and process relevant inventory adjustments.

Monitor, track, and follow up on daily in-transit finished goods across all depots.

Produce daily reports for critical areas: Loss Control, In-Transits, and Unitrans Orders 545.

Clear daily EDI receipting errors.

Manage daily stock allocations to relevant depots, ensuring all queries are resolved to avoid stock issues.

Manage the returns credit process, ensuring returned stock is accurate and credit is passed to the customer promptly.

Manage daily replenishment for stock at all KAS depots, ensuring safety stock is correctly set up.

Raise base oil invoices for all third-party suppliers.

Manage the shelf-life process, ensuring expired stock is quarantined, re-tested, and either returned to sale or safely disposed of.

Ensure goods are stored according to BP warehouse, storage, and preservation standards, and comply with BP safety standards.

Develop and implement improvements to operational procedures to maximise efficiency and reduce costs.

Nurture positive relationships with suppliers and provide customer service as needed (e.g., backorder stock allocations).

Highlight, address, and resolve mistakes, inaccuracies, and discrepancies through control measures.

Support the Warehouse Logistics Manager by ensuring third-party warehouse and distribution suppliers operate in compliance with HSSE standards.

Ensure operating practices and procedures are correctly documented, maintained, and complied with.

Apply controls and corrective actions where needed to manage performance.

Summary Decision Rights

Internal

▪ Providing advice and information to Team members CSU, MI Analyst, Logistics Admin Assistants.

▪ This role has no direct reports however close co-operation is required between 113 Depot Co-Ordinator and the Bulk Lubricants Scheduler.

External

  • Relationships with both the 3rd Party warehouse operators and repacker's needs to be maintained in order to ensure that this activity is undertaken on a regular and on-going basis.
  • This role has no direct reports.
  • The ability of repackers to accommodate and maintain the level of repacking required to ensure that this issue does not get out of control.
  • On-going demand priorities between production and repacking at this 3rd Party continue to provide on-going challenges.
  • This role operates within specific guidelines, policies and procedures.
  • This role is expected to ensure that any stock losses are accounted for and that these losses are recovered from the relevant 3rd party operation.
  • Reference My Plan specific HSSE objectives & targets for the current year.
  • Provide support to the Warehouse Logistics Manager in ensuring that operational safety at the Hub is maintained as per BP standards.

Experience

Mandatory:

  • Minimum 5 years experience in a high volume warehouse.
  • Sound knowledge of stock management and control processes and procedures.
  • Ability to work with a 3rd party operator (indirect control).
  • Working knowledge of JDE ERP systems.
  • Ability to investigate and determine root causes for stock losses/damages.
  • Intermediate computer literacy (Microsoft Office).

Desired:

  • Tertiary qualification in Stock and/or Warehouse Management.
  • Ability to grasp the intricacies of electronic interfaces between 2 ERP systems
  • Skills in anticipating and managing changes.
  • Identify resource needs (people, tools, competencies) and drive them in the problem solving.
  • Use the competencies acquired to analyse and resolve daily problems.
  • Have a strong capability to find new and innovative solutions to pass over the typical issues and to promote the CI culture with suppliers.
  • Select priorities in accordance with business excellence policy.
  • HSSE basic knowledge.
