Your role and responsibilities
The Office Admin is a multifaceted role combining administrative support and logistics coordination. This position ensures smooth operational flow by managing office administration tasks, executing purchasing activities in compliance with ABB policies, and coordinating logistics and supply chain support functions. The role requires strong organizational skills, attention to detail, and the ability to work across multiple functions while maintaining compliance with ABB's procurement and trade regulations
The work model for the role is: Onsite, #LI-Onsite
This role is contributing to the Electrification Service (ELSE) division in Thailand . Main stakeholders are local and regional procurement teams, suppliers, logistics service providers, warehouse operations, service operation , sales, and finance departments .

The role requires strong organizational skills, attention to detail, and the ability to work across multiple functions while maintaining compliance with ABB's procurement and trade regulations
The work model for the role is: Onsite, #LI-Onsite
This role is contributing to the Electrification Service (ELSE) division in Thailand . Main stakeholders are local and regional procurement teams, suppliers, logistics service providers, warehouse operations, service operation , sales, and finance departments .
You will be mainly accountable for:
- Manage overall office administration including coordinating internal meetings, supporting regional visits, overseeing daily operations for the management team, and ensuring smooth office functionality.
- Maintain office organization and documentation systems by handling filing, managing correspondence and communication channels, and coordinating office supplies and equipment maintenance.
- Support meeting and travel operations by scheduling meetings, preparing agendas and minutes, and managing travel arrangements and expenses in accordance with ABB Travel & Expense policies.
- Oversee procurement documentation and compliance, including maintaining accurate records of POs, contracts, invoices, and ensuring adherence to ABB's Global Trade Recordkeeping requirements.
- Administer Purchase Orders (POs) through monitoring open POs, coordinating timely closures, processing amendments, and resolving invoice discrepancies or mismatches.
- Prepare operational reports such as daily/weekly/monthly updates, support KPI data analytics, and maintain dashboards to track performance metrics.
- Support logistics operations by coordinating inbound/outbound shipments, tracking deliveries, managing customs documentation, expediting critical orders, and liaising with freight forwarders and logistics partners.
- Uphold ABB values and compliance standards by ensuring adherence to safety, integrity, code of conduct, and by collaborating with cross‑functional teams (operations, sales, finance, quality) to ensure seamless workflows.

- Teamwork & Collaboration - works well with cross ‑ functional teams and vendors.
- Responsibility & Reliability - strong sense of ownership and follow ‑ through.
- Basic Computer Literacy - MS Office, email, and office systems.
