In this role, your responsibilities will be:
- Support NI Service Center in administrative activities, ensuring smooth and efficient operations.
- Assist trainers in the preparation for training sessions, contributing to the development of our team's skills and knowledge.
- Coordinate procurements (e.g., laptops, IT tools, office supplies, etc.), including identifying procurement options, acquiring manager approvals, negotiating, ordering, and collaborating with IT and Procurement. We believe in providing the best tools and resources to our team.
- Manage team projects such as cube moves, event support, and more. We strive to create a dynamic and adaptable work environment.
- Coordinate events, team-building activities, new hire introductions, team meetings, and summits. We are committed to fostering a collaborative and inclusive culture.
- Team up with the Executive Assistant to develop standard methodologies for administrative tasks and identify areas for improvement. We continuously seek to enhance our processes and efficiency.
- Build and manage reports and expense reports, ensuring expenses remain within budgetary constraints. We prioritize financial responsibility and transparency.
- Edit and coordinate surveys to gather valuable feedback and insights. We value the opinions and experiences of our team members.
- Collaborate with IT on Service Desk requests to ensure timely and effective resolutions. We support a seamless and productive work environment.
- Provide support for NICR visitors, ensuring a welcoming and professional experience. We take pride in our hospitality and professionalism.
- Work closely with other supporting departments to achieve common goals. We believe in the power of teamwork and cross-functional collaboration.
Who you are:
You are a highly organized and diligent individual with a proven track record of providing support in a high-tech, global environment. Your ability to perform and collaborate effectively enables you to drive administrative tasks to successful completion.
For this role, you will need:
- College degree preferred, with at least 2-3 years of experience providing administrative support.
- Experience with procurement processes and vendor management.
- Familiarity with event planning and coordination.
- Knowledge of budget management and financial reporting.
- Experience with survey design and analysis.
- Ability to work independently and as part of a team.
- Experience with customer service or visitor support.
