Daily tasks
Responsible for providing professional admin/secretarial supports to IA GC VPGM
Coordinate day-to-day activities/meetings and other admin task in the VPGM's office
Screen incoming calls and mails/fax, filter and escalate to respective functions
Handle / draft correspondence and provide translations as requested
Arrange travel flights bookings and itinerary, visa application
Process expenses claim, payment and other regular administrative spending and filing
Occasional / Regular tasks
Coordinate and work in team about HON senior executives' visits, and high-level customer visits with the admin in IA GC
Assist on special projects' logistics coordination, customers-related events/conferences as needed
Maintain filing system, contacts database and office library regularly
Maintain IA GC calendar, consolidate info from the IA HQ
Organize the distribution of festive greetings cards and gifts
Order and keep gifts inventory and its record
Process and filing of operational expenses, track payment and receiving, order of office stationery and supplies
Handle ad hoc projects and multi-tasks assignment
IA GC office/seat management
Requirements:
Fluent English and Chinese Mandarin, presentable
More than 5 years of experience as administrator/secretary. Working experience in the management office of a MNC is a plus
Able to work under minimal supervision, good organizational skills and discretion of confidential information
Positive attitude, self-motivated, reliable and flexible - be able to attend occasional work/requests during weekends or public holidays
Good computer skills and telephone manner
Good communication skills and manner with internal and external customers at all levels
