Wood is recruiting for a Project Administrator to join our Oil, Gas and New Energies business focusing on delivering some of the biggest and most complex projects in the Canadian oilsands. This opportunity is Onsite.

The Role

Wood is currently seeking a Project Administrator to join our Oil, Gas and New Energies business located in our Calgary, AB office location. Reporting to the Project Administration Lead, the successful candidate will have the opportunity to support a variety of project and administrative functions. This role is for a 1-year term only, though there may be opportunity to extend the role given the right circumstances.

RESPONSIBILITIES

Typical responsibilities
  • Driving administrative functions across allocated projects
  • Create, administer & maintain the Project SharePoint sites and drive communication on project sites consistently across all allocated projects.
  • Ensure project SharePoint sites are consistent in collaboration with the corporate quality teams,
  • Incorporate Project specific processes, procedures, tools into the Project SharePoint site, and maintaining communications with the project team of any updates
  • Administer the Project approval process for onboarding new staff and ensure it is consistently followed across all projects.
  • Support Project controls with the maintenance and customer signoff of Project team member approval registers, for those requiring approval by client.
  • Maintain, on SharePoint, Project team (Wood and Client) organization charts and communications contact and distribution lists.
  • Administer Project onboarding to all new Project team members and maintain onboarding training records for corporate and project onboarding. As required, support PM in the creating of the onboarding content.
  • Provide formatting and technical writing services
  • Issue important project meeting minutes and add all actions from meetings to project action logs.
  • Provide support to Project Manager/Engineering Manager/Project Engineer with follow-up activities on action logs for the Project.
  • Manage the SharePoint overtime request process consistently across all Projects.
  • Manage timely vendor invoice processing for all project team meal service activities
  • Venue coordination of facilities and services for onsite and offsite group functions
  • Travel administration, including liaising with corporate travel agencies to coordinate all travel bookings, in alignment with corporate and Project travel policies.
  • Liaise with Office services and HSSE teams as required to support the office and meeting room facility requirements of the project teams.

Expected:
  • Minimum of 3+ years project administrative or document management experience in an engineering/construction environment
  • Graduate of an Administration Assistant, Library Technology, Records Management, or Information Management program would be an asset
  • Proficiency with Microsoft Suite programs including Word, Excel, PowerPoint, Teams, SharePoint and Outlook
  • Self-starter and able to work independently to focus on details, complete tasks and meet deadlines
  • Excellent interpersonal skills, organizational skills, ability to multi-task and adapt to constant interruptions
  • Ability to correspond and interact with others in a courteous and professional manner
  • Excellent written and verbal communication skills
  • Ability to work efficiently in a professional manner with both internal and external clients


Desirable:
  • Knowledge of project services reporting and document types would be an asset
