DG BOSS: Administrative Specialist I

  • Provides an efficient and effective administrative support service to the HS&E team.
  • Assists in the preparation and coordination of safety training sessions.
  • Attend weekly HSE meetings with other HSE staff and promptly seek advice when required.
  • Promote the "Why I Work Safely" badge program and faithfully conduct and document Courage to Care Conversations.
  • Maintains safety bulletin boards and all other safety messaging areas.
  • Provides direct support to the SSHO and HSE staff, assisting in daily office needs, dissemination of new directives, company's business practice, and policies along with managing our company's general administrative activities.
  • Prepares requisition/MPR for all various office supplies.
  • Delivers all correspondence documents to the Government to ensure that the appropriate parties received the company's information and/or deliverables.
  • Maintains personnel records including a screening of Leave / R&R Requests and Personnel Action Notices (for travel, promotions, transfer, and termination) before submitting them to the Human Resources Department.
  • Accepts and reviews correspondences, messages, and other paperwork to determine the nature of action and forwards them to the appropriate persons.
  • Creates and tracks various documents, i.e., training records, organizational charts, office space, and office assignments.
  • File, photocopy, and complete general HSE administration as required
  • Operates computer systems and other specialized equipment for data entry and timekeeping purposes.
  • Coordinates meetings, perform other administrative duties, and additional specific task as may be assigned by the SSHO.
  • Maintain discretion and protect with sensitive information company and personnel information.

Basic Qualifications
  • Must possess administrative, organizational, and computer skills to include proficiency with Microsoft Office suite including (MS Word, PowerPoint, Excel, and Outlook).
  • Must have a working knowledge of EM 385-1-1.
  • Proven ability to organize, prioritize, and follow through to completion of multiple tasks, under strict deadlines and changing priorities.
  • Comfort with multi-tasking and handling multiple requests from different individuals and departments.
  • Ability to work quickly and in a potentially high-stress environment.
  • Strong communication skills and extremely self-motivated when managing communication channels.
  • Must pass overseas medical screening and be in good health.

Preferred Qualifications

JOB SPECIFICATIONS: SPECIAL CERTIFICATION OR TRAINING
  • OSHA 30 hour Construction Safety and/or General Industry courses are desirable.

EDUCATION:
  • Associate or bachelor's degree in Business Administration/Office Administration/Computer Secretarial, based on a 4-year course of study from an accredited College or University or equivalent institution is preferable.

EXPERIENCE:
  • Minimum of 2 years of experience in Business and Industrial areas and/or general office experience performing the full range of office support duties.
