Role synopsis

Operations & Advisory (O&A) is an internal global shared services and technology solutions organization within Human Resources. It is responsible for innovating & delivering HR services and solutions for bp globally, from a number of Business & Technology Centers and local delivery teams. O&A is the first point of contact for HR related matters; the team are policy, process and digital experts, dedicated to delivering the best customer experience.

Role purpose:

The Payroll Services Lead is responsible for overseeing the provisioning of payroll analytical and management services in support of accurate payroll delivery for a specific, large country or population set. This includes transactional support, vendor coordination, and timely and accurate analysis of payroll related research and queries. The role involves liaising with a team of payroll, overpayment and tax specialists. The Delivery Lead works closely with members of the O&A teams, internal and external partners (Pensions, Tax, Equities, Finance, International Mobility, ADP, Fidelity, Benefits, etc.). This role will ensure legal, fiscal, and regulatory requirements are met while contributing to continuous improvement activities. This role also leads a team of specialist who are responsible for supervising and accurately delivering Workday time for large sites in the US.

Role reporting relationships:

1-3 direct reports, 2-4 indirect reports

Role accountabilities:

  • Deputizing for the Pay and Tax Services Manager.
  • Approval of payrolls within areas of responsibility within Delegation of Authority
  • Monthly reporting and/or posting of various payroll related files.
  • Monthly pre-payroll checking and corrections including manual adjustments.
  • Handle Workday time specialist team and support through removing obstacles to system and case flow.
  • Management of new payment codes to be set up the pay system testing and communication to the requestor.
  • Provision of documentation and knowledge share to satisfy audit requirements.
  • Direction and solutions around problem identification and resolution.
  • Liaison with vendor partners to ensure prompt and accurate payroll processing and related postings.
  • Escalation point of contact between vendor partners and bp to resolve process issues on either side.
  • Liaison with bp Tax, bp Finance, O&A Tax Services team, and other internal parties as needed in support of payroll related activities providing subject matter expertise in order to support issue resolution.
  • Management of the overpayments and reclaim process liaising with P&C Partners to ensure consistent application of the Overpayment policy; submission of Earlier Year Updates where appropriate.
  • Identifying and using continuous process improvement opportunities including payroll related measures to help improve the efficiency of payroll operations through trend analysis, metrics and root cause analysis.
  • Ensuring local operating procedures are accurate, up to date, and fit for purpose
  • Lead efforts relating to ad hoc unanticipated work requests projects as required.
  • Involvement in projects/ initiatives locally globally.
  • Represent team to both internal and external audiences regarding operational issues and improvement/change initiatives
  • Recognize need for leading through change management initiatives while maintaining team engagement.
  • Support planning executive operation strategy

Change Management

  • Support changes in services by handling change process with collaborators - internal & external
  • Help with input / support on business case for change proposals
  • Support internal change communications implementation
  • Drive culture of continuous improvement towards operational excellence

Risk Management

  • Identify escalate risks to Payroll Manager / VP / GEO as vital
  • Handle risks ensuring continuous operations including BCP

Formal education requirements:

Bachelor's degree or equivalent experience required

Essential Experience and Job Requirements:

  • 10 to 15 years of experience in Operations, in Payroll Administration / Operations experience.
  • Knowledge of P&C systems including SAP GV and Workforce Now payroll.
  • 3+ years of coaching and/or leading others and relevant shared service experience required.

Technical:

  • Sound understanding of IRS legislation and legal compliance
  • Proficiency with Excel spreadsheets.

As needed works with bp's integration partners implementing global projects. Is in regular contact with Vetting provider for issue resolution service performance check-ins.

Key relationships - internal:

  • This role reports to the Pay and Tax Service Manager and is part of larger Country Service Delivery Model.
  • - Works closely with Operational Perfection Team for respective Service Line Global Solution Owner for Payroll regarding project implementations continuous improvement technical issues management.
