Project Administrator

Project Administrator supports Project Manager and project team by coordinating project activities, maintaining documentation, monitoring project progress, and ensuring compliance with company procedures. This role is critical in keeping projects organized, on track, and delivered within scope, budget, and timeline.

Key Responsibilities
  • Assist Project Manager with planning, scheduling, and tracking project milestones and deliverables.
  • Prepare, format, and maintain project documentation (e.g., contracts, meeting minutes, reports, presentations) in English.
  • Monitor project timelines and update project trackers, highlighting risks or delays.
  • Coordinate internal and external meetings, including preparing agendas and distributing minutes.
  • Liaise with clients, vendors, and internal teams to ensure smooth communication and information flow.
  • Manage project documentation in line with company standards and version control.
  • Support procurement, invoicing, and budget tracking activities as required.
  • Ensure compliance with health, safety, and quality requirements across the project lifecycle.
  • Provide general administrative support to the project team.

Job Requirements
  • Diploma 3 / Bachelor's degree in Business Administration, Project Management, or related field.
  • Minimum 2-3 years of experience in a project administration, coordination, or support role.
  • Experience working in industry - e.g., construction, engineering, oil & gas, etc. is an advantage.
  • Strong organizational and time-management skills, with attention to detail.
  • Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook); experience with project management tools (MS Project, Smartsheet, Asana, etc.) is a plus.
  • Fluent in English (both written and spoken); able to communicate daily with international teams and stakeholders.
  • Excellent communication and interpersonal skills.
  • Ability to work independently and collaboratively.
  • Problem-solving mindset and proactive approach to work.
