Role Overview

We are seeking a Procurement Administrator to support our operations in Riyadh. This role is pivotal in ensuring the efficient procurement of goods and services, vendor management, and contract administration in alignment with company policies and project requirements.

Key Responsibilities

Procurement & Vendor Management
  • Source, evaluate, and negotiate with suppliers and service providers to ensure cost-effective, quality, and timely delivery of goods and services.
  • Manage vendor prequalification, tendering, and contract award processes in line with company policies.
  • Draft, review, and manage service agreements, SLAs, and supplier contracts to ensure compliance with internal regulations.
  • Build and maintain strong vendor relationships, monitor performance, and ensure service standards are met.
  • Collaborate with vendors including janitorial, landscaping, and security services; evaluate performance and negotiate contracts.


Systems & Tools
  • CMMS experience is required, specifically with Maximo System.
  • Familiarity with JDE systems is essential for procurement and financial tracking.


Administrative & Facilities Support
  • Transcribe and compose correspondence and reports.
  • Maintain departmental records including budgets, personnel files, and timesheets.
  • Manage office space allocation, meeting room scheduling, and workspace optimization.
  • Coordinate travel arrangements, meetings, and appointments.
  • Serve as receptionist and manage incoming/outgoing communications and documentation.
  • Prepare monthly reports and assist in project-related meetings.


Health, Safety & Compliance
  • Develop and implement safety protocols; conduct regular inspections.
  • Ensure compliance with local, state, and federal regulations.
  • Maintain documentation for audits and regulatory purposes.

Budget & Inventory
  • Assist in budget preparation and expense tracking.
  • Procure and manage office supplies, furniture, and equipment.
  • Identify cost-saving opportunities and negotiate service contracts.

Emergency & Sustainability
  • Develop emergency response plans and coordinate drills.
  • Promote sustainable practices and monitor energy usage.

Behavioral Competencies

  • Excellent planning, organization, and problem-solving skills.
  • Effective communication and report writing abilities.

Qualifications & Requirements

  • Bachelor's Degree from a recognized university with at least 3 years of relevant experience.
  • Certification in Secretarial or Administration preferred.
  • IELTS Band 7 or equivalent English proficiency.
  • Arabic language skills are a plus.
