This Position reports to:

Your Role and Responsibilities
We are now looking for a reliable, highly organized, and proactive new Assistant to join our team for a temporary contract ending 31.1.2027. This is a perfect role for you, if you are a service-minded team player wanting to work in a dynamic environment with a variety of tasks. As our ideal candidate you are also detail-oriented and capable of working independently to ensure smooth daily operations at the office.
In this role, you will have provide administrative services and/or secretarial assistance at an organization or business level. Each day, you will perform complex administrative tasks. You will also showcase your expertise by taking ownership of delivering specific business processes and programs.
You will work in close co-operation with management team members, managers and several other internal and external stakeholders and partners. The position is based in Vaasa, and you will be part of the HR team, reporting to our Local Division HR Business Partner. Although we have a hybrid working model, we prefer working on site.

You will mainly be accountable for:
- Handling expense reports in the Concur travel management system and acting as a key user in our time management system Jotbar
- Updating internal communication channels and writing internal articles
- Supporting the management and HR team by scheduling and coordinating meetings, events, travel, workshops, and related arrangements
- Serving as a contact point for visitors and clients
- Coordinating meetings, travel arrangements, and events by arranging flights, hotels, visas, and logistics for international travel and conferences
- Assisting in general office administration, handling enquiries, undertaking specific or general clerical tasks, and performing other duties as needed
Qualifications for the Role
- BSc or MSc level degree from a relevant field e.g., business administration, communication studies or similar
- Energetic, positive, and service-minded personality with solution-oriented way of working and excellent cooperation skills.
- A strong sense of responsibility, the ability to work independently under pressure, to meet tight deadlines, and to prioritize efficiently
- Proactive and flexible organizer personality committed to high quality
- Curiosity and good skills with office programs (MS Office) and other digital tools
- Fluency in English and Finnish both written and spoken
- High ethical standards; able to manage sensitive and confidential information
- Willingness to learn and develop yourself
- Previous experience in assistant positions or another similar role seen as a benefit
