Position Overview
The Information Management & Document Control (IM/DC) Manager is responsible for defining, implementing, and overseeing all information and document management processes across a large-scale international LNG development project. This includes ensuring efficient document flow, compliance with project procedures, and the successful handover of documentation and data to Operations at project completion.
The position plays a critical role in maintaining document integrity, supporting multi-site teams, and coordinating with engineering, procurement, and operations stakeholders located across several global locations.

The Information Management & Document Control (IM/DC) Manager is responsible for defining, implementing, and overseeing all information and document management processes across a large-scale international LNG development project. This includes ensuring efficient document flow, compliance with project procedures, and the successful handover of documentation and data to Operations at project completion.
The position plays a critical role in maintaining document integrity, supporting multi-site teams, and coordinating with engineering, procurement, and operations stakeholders located across several global locations.
Key Responsibilities
- Develop, implement, and maintain information and document management procedures aligned with corporate and project objectives.
- Define and oversee the Document Control strategy, ensuring timely document delivery and full lifecycle management of technical documentation.
- Manage the project document delivery schedule and reporting tools to monitor EPC contractors’ documentation progress.
- Ensure document management systems and tools are properly configured, accessible, and used consistently across project entities.
- Supervise and guide Document Controllers across all project locations to ensure document consistency, traceability, and quality.
- Lead the development and maintenance of Master Document Registers (MDRs) and Document Distribution Matrices (DDMs) in coordination with engineering and package managers.
- Host and facilitate training sessions and workshops on information management and document control for internal teams, EPC contractors, and key suppliers.
- Ensure proper access rights, configuration, and user training for the electronic document management system (EDMS).
- Oversee the capture, validation, and quality control of all project documentation.
- Ensure that document numbering, metadata, and attributes are standardised and comply with project coding conventions.
- Coordinate and monitor the preparation and transfer of final project documentation and data to Operations, ensuring smooth handover and compliance with defined requirements.
- Track, audit, and report documentation progress, identifying bottlenecks and implementing corrective actions.
- Provide regular status updates and unbiased reporting to Project Management on IM/DC performance.
- Represent the IM/DC function in project meetings and cross-functional workshops (Engineering, Project Services, Operations).
- Ensure all IM/DC activities adhere to company HSE standards, ethics, and code of conduct.
- Promote a proactive safety culture and exemplary behaviour across all information management processes.
- Bachelor’s degree or higher in Engineering, Business Management, Information Management, or a related field.
- Minimum of 10 years’ experience in information management, document control, or project services within major oil and gas developments.
- Proven experience managing large-scale, multi-location projects with multiple stakeholders.
- Strong knowledge of engineering documentation standards, project handover processes, and document lifecycle management.
- Advanced experience with EDMS tools (e.g., New Prodom, Quantum, or equivalent).
- Excellent understanding of document numbering systems, revision control, and metadata management.
- High proficiency in MS Office Suite, including Excel and reporting tools.
- Excellent organisational and time management skills.
- Strong leadership, communication, and interpersonal abilities.
- Ability to manage multicultural teams and coordinate across global project sites.
- Fluent in English (written and spoken); Portuguese or French is an advantage.
