Your role and responsibilities

Are you someone who thrives on keeping operations running smoothly behind the scenes?

As a Planning Coordinator, you play a vital role in preparing and coordinating service tasks for our Robotics Service Engineers across the BeNeLux region.

From the initial customer request to the final sign-off, you ensure that everything is in place: people, parts, logistics, and communication. You serve as the central point of contact for customers, engineers, factories, and suppliers-making sure every service job is delivered with precision and care.

You report directly to the Service Manager and work closely with a passionate, collaborative team.

Key responsibilities

• Act as the first point of contact (via email and phone) for customers and service engineers
• Plan and coordinate customer service requests in Salesforce, including logistics and resource allocation
• Provide clear work instructions and, when required, prepare safety plans in line with ISO and VCA standards
• Manage the full technical and logistical preparation of service tasks: create quotations, register orders in SAP, order spare parts, and handle invoicing
• Maintain accurate documentation and ensure timely registration of all required data in the system
• Identify opportunities to improve products, services, or processes, and share your insights
• Support engineers and customers by phone with updates or questions

Your profile

• Strong communication skills (email and phone) and a keen eye for detail. You understand that excellent service begins with excellent planning
• A customer-focused mindset, with the ability to balance client needs and business goals
• The ability to manage multiple tasks in a dynamic environment. You prioritise effectively, adapt quickly, and think in solutions
• A collaborative approach. You enjoy working in a team and are also confident working independently
• A genuine interest in technology. A technical background is a plus, but curiosity and willingness to learn are just as valuable
• Fluency in Dutch and French is required. Proficiency in English is a plus
• Strong skills in MS Office and ease with digital tools. Experience with SAP and Salesforce is an advantage
