We are currently seeking a Procurement Systems & Invoice Management Executive to join our team based in Kuala Lumpur.

About the mission we offer you:

The Procurement Systems & Invoice Management Executive is responsible for managing and optimizing the organizations procurement technology ecosystem and ensuring efficient, accurate end-to-end procurement process and invoice processing. This role bridges procurement , finance and IT by managing and maintaining procurement systems, supporting users, improving P2P processes, and overseeing invoice workflows to ensure compliance, accuracy, and timely payments.

Key Responsibilities

Procurement Systems Administration

• Serve as the functional/system administrator for procurement platforms (e.g., SmartPlant Materials, EPCNet, Oracle EPR, etc.)
• Manage user access, approval hierarchies, permission settings and system controls
• Level 1 functional support to trouble shoot issues and find non-technical solutions/workaround.
• Provide system and process support to procurement and business users.
• Develop training materials, user guides and conduct system training sessions.
• Develop dashboards and reports on spend, P2P cycle times, invoice aging, exceptions and process KPIs.
• Ensure high data quality standards and system alignment with finance/ERP systems.
• Lead or support system enhancement, new module implementations and upgrade projects.
• Ensure best practices in procurement digitalization and compliance.

Invoice Management

• Oversee all invoice processing activities including invoice matching, validations and workflow approvals.
• Resolve invoice discrepancies (price, quantity, PO mismatches) in collaboration with suppliers and stakeholders.
• Monitor invoice ageing, ensure timely payments, support AP team with escalations.
• Drive improvements in the invoice-to-pay processes, reducing exceptions and manual touchpoints.

About you:

Education & Experience

• Bachelors Degree in Supply Chain Management, Business, Finance, or related fields (preferred).
• 2+ years experience in Procurement systems and P2P operations Oil & Gas or Energies industry is a plus.
• Experience with ERP/ procurement systems( SmartPlantMaterials, Oracle, SAP, Ariba,etc.) is a plus.

Technical & Functional Skills

• Strong understanding of S2P/P2P processes, especially invoice processing and 2-way/3-way matching.
• Ability to configure procurement systems, manage workflows and troubleshoot system issues
• Data analysis and reporting skills (Excel, PowerBI,etc)
• Understanding of ERP integration and invoice automation tools.
