This Position reports to:
Local Division Manager

Responsibilities
  • Manage leadership calendars, schedule complex meetings, organize logistics (decks, catering, materials), and track follow‑up actions.
  • Coordinate logistics, budget tracking, and vendor PO management for large internal meetings and events (town halls, kick-offs, leadership sessions).
  • Lead employee engagement and recognition initiatives, promoting ABB programs, HSE/wellness activities, and reward/benefits communications.
  • Provide HR and administrative support including preparing letters, updating org charts, managing SharePoint content, and distributing internal communications.
  • Support onboarding by coordinating IT access, equipment, desk reservations, credit cards/phones, building access, checklist completion, and offboarding tasks.
  • Provide first-level IT support for Office 365/Teams and liaise with IT for escalations, ensuring smooth tech setup for new hires.
  • Manage all travel arrangements for PIP Canada (booking, changes/cancellations) and handle travel‑related issue resolution.
  • Prepare, submit, and troubleshoot expense reports in Concur and resolve outstanding travel or expense matters.


Required Skills & Competencies
  • College or University degree in Business or a related field, with 2-4 years of experience in office coordination and/or customer service; experience supporting management teams or HR partners is an asset.
  • Strong collaborative spirit, proactive mindset, and ability to adapt to changing priorities in a complex, matrixed environment.
  • Excellent written and verbal communication skills in French and English, with strong attention to detail and organizational abilities.
  • Digitally savvy, with strong proficiency in Office 365, Teams, and modern collaboration tools.
  • Ability to build relationships and work effectively with C‑level executives, senior leadership, and multiple stakeholders.
