General Purpose:

Provides administrative, operational, and logistical support for a manufacturing and warehouse facility. Supports daily production office functions, inventory‑related tasks, visitor management, and coordination between shop‑floor teams and leadership. Duties include clerical activities, materials coordination assistance, document control, reporting, safety program support, and general operational support for the facility.

Responsibilities:
  • Serve as the first point of contact for employees, vendors, drivers, and visitors entering the manufacturing or warehouse facility; ensure proper check‑in, ID badges, safety orientation, and compliance with facility protocols.
  • Coordinate inbound/outbound logistics documentation, including bills of lading, packing slips, material receipts, and shipment paperwork in alignment with warehouse guidelines.
  • Support production and warehouse leadership by maintaining schedules, updating shift rosters, and assist in creating communication to shop‑floor teams.
  • Assist with maintaining inventory of essential supplies (e.g., PPE, warehouse consumables, labels, tools, office materials), working directly with suppliers and storeroom personnel.
  • Receive, sort, and distribute incoming materials, mail, and small packages; collaborate with warehouse personnel to ensure timely routing and accurate documentation.
  • Prepare and maintain operational documents, such as work instructions, safety documents, daily shift reports, and compliance records.
  • Assist in coordinating training sessions for new hires, contractors, and temporary shop‑floor staff; ensure required paperwork and safety materials are completed.
  • Support facility meetings by booking rooms, preparing materials, arranging catering, and assisting with presentation preparation (PowerPoint, spreadsheets, production dashboards, etc.).
  • Participate in safety‑related administrative tasks such as maintaining SDS binders, distributing PPE, filing incident reports, and supporting safety committee activities.
  • Assist production or warehouse supervisors with ad hoc administrative needs, including printing work orders, preparing laminated documents, posting communications on boards, and updating visual management tools.
  • Monitor and maintain a clean, orderly, and professional reception and operations office area.
  • Complete purchase requisitions, vendor orders, and expense submissions relevant to facility operations.
  • Other duties assigned

Essential Functions:
  • Proficiency with Microsoft Office (Word, Excel, Outlook, PowerPoint) and ability to learn manufacturing‑related systems (ERP, inventory tools, maintenance systems, etc.).
  • Strong ability to follow structured processes and maintain documentation accuracy in a production environment.
  • Ability to communicate clearly and professionally with warehouse personnel, production teams, drivers, contractors, and leadership.
  • Must be flexible with daily priorities in a dynamic manufacturing/warehouse setting.
  • Ability to perform tasks in a fast‑paced environment with frequent interruptions.
  • Ability to complete tasks independently with a high degree of attention to detail.

Education, Training, and Skills Required:
  • High school diploma or GED; 1-3 years of experience in an administrative, manufacturing support, or warehouse operations role preferred.
  • Strong teamwork, adaptability, and willingness to learn manufacturing processes and terminology.
  • Dependability and strong work ethic; able to meet deadlines and support shift‑based operations when needed.
  • Ability to read and comprehend operational documentation, shipping paperwork, and safety instructions.
  • Problem‑solving skills with the ability to navigate practical challenges in a warehouse or production environment.

Physical Demands

While performing the duties of this job, the employee is regularly required to sit; use of hands and fingers to handle and feel; reach with hands and arms; and talk or hear. The employee is occasionally required to sit, stand and walk. Specific vision abilities required by this job include close vision, distance vision, depth perception, and ability to adjust focus.
