Job Purpose
Handle all Government Relations activities such as Security Passes, Visas, Travel Cards, traffic issues etc. in order to ensure that all company transactions with Government bodies are processed timely, efficiently and satisfactorily. Maintains contacts with Government Officials and also arranges General Management's meetings for Company business and the smooth visits of such officials to Company's locations
Provide prompt and efficient documentation services to the Company and employees to facilitate timely authorization in accordance with legislative requirements.
Job Specific Accountabilities
• Liaises with Abu Dhabi Government Departments/Authorities and occasionally up to Director/Under Secretary level, when required to seek cooperation, foster, and facilitate smooth running of Company's business and solving Company's personnel problems.
Ensure that all paper work isGovernment Legal Processes Coordination
• Keep abreast of changes in order for all process and matters with Legal rules, processes and procedures related to various government departments to obtain various approvals for authorities to implement relevant updates to the company, itsCompany's Documentation services.
• Coordinate with relevant Government authorities to inform company regarding latest and important developments/ changes in laws and regulations.
Documentation Services
• Follow up the documentation requirements for newly arrived and existing employees and authorised visitorsverify applications for issuance and renewal / cancellation of visas to ensure accuracy and availability of documents.
• Arrange business visas with embassies.
• EnsureInvestigate and provide support in solving the problems encountered at various stages of documentation processing to facilitate timely process of issue and renewal of employmentprocessing and visit visas as obtainment of required and process cancellationauthorization.
• Monitor the centralized computer based documentation data of visas as required.
• Ensure that security access passes and identity cards for all authorised personnel , Company the Company's employees and contractors are processed in atheir dependents to facilitate timely manner
• Keeps contacts with Police Authorities up to Director Level to follow- up/solve Company's and personnel cases/problemsaction.
• Participates in coordinatingFollow up and ensure obtaining HIV clearance certificates from the Health Authority for issue and renewal of visas for Company staff.
• Follow up the issuance and renewal of Emirates ID for employees and their dependents to maintain validity.
• Process for payment of fees from petty cash for Government Officials/VIP's visits/programs to the formalities.
• Process documentation to obtain UAE visas for Company's operational sites.VIPs and Guests missions and invitations.
• Works together with Government's preventive medicine Department in cases of death in expatriate's family in UAE.
Minimum Qualification
Diploma in Business Administration or equivalent Qualification
Minimum Experience, Knowledge & Skills
6 years of experience in documentation services, within a large industrial organization, preferably in the Oil and Gas
Revenues/ Budget: As per approved financial budget
Direct Reports: As per organization chart
Indirect Reports: As per organization chart
