JOB DESCRIPTION

This role supports Health, Safety, and Environment (HSE) operations by managing contractor compliance systems, maintaining HSE documentation, and coordinating training and reporting activities. The position ensures all HSE records, certifications, and regulatory requirements are accurate, current, and aligned with client and company standards. It works closely with internal teams and external stakeholders to communicate requirements, track compliance, and support continuous improvement of HSE programs. The role also provides administrative and document control support within HSE systems and platforms. Strong organizational, communication, and data management skills are essential in a fast-paced, compliance-driven environment.

PRIMARY RESPONSIBILITIES

  • Monitor, track, and maintain third-party compliance databases (e.g., ISNetworld, ComplyWorks) by ensuring all required Health, Safety, and Environment (HSE) documentation-such as training records, certificates of insurance (COIs), and Workers' Compensation Board (WCB) information-is accurate, up to date, and compliant with client requirements.
  • Assist in the development, compilation, and maintenance of HSE documentation and resources across internal platforms (e.g., SharePoint sites) and external third-party databases, ensuring information is organized, current, and readily accessible.
  • Coordinate with NOV Corporate functions, including Legal, Risk, and HSE, to review and align customer-specific HSE requirements with Master Service Agreements, contractual obligations, and other requested documentation (e.g., permits).
  • Communicate external customer HSE requirements to relevant NOV personnel and proactively follow up to ensure understanding, implementation, and ongoing compliance with client and regulatory expectations.
  • Support the preparation and administration of HSE training programs, including employee registration, record maintenance, and reporting through Learning Management Systems (e.g., HUB Learning) and third-party platforms.
  • Assist in the preparation and analysis of HSE reports, statistics, and balanced scorecards, and contribute to the review and updating of HSE procedures and documentation.
  • Maintain and update contractor management records, including annual renewals of certificates of insurance, business licenses, WCB documentation, and COR certifications; ensure the accuracy of approved contractor lists across Canada.
  • Provide document control support for HSE - Facilities and Operations by managing the upload, organization, and maintenance of records within document management systems such as Microsoft Teams and SharePoint.
  • Provide administrative support to the HSE department and Facilities team, including procurement of supplies, coordination of travel arrangements, processing expense reports, document filing, and management of incoming and outgoing correspondence.
  • Perform additional duties and responsibilities as assigned to support departmental and organizational objectives.


JOB REQUIREMENTS

  • Advanced proficiency in Microsoft Office applications, including Excel, Word, Outlook, PowerPoint, and SharePoint with the ability to create, analyze, and present data effectively.
  • High school diploma or GED required; post-secondary education in Business Administration, Occupational Health & Safety, or a related field is considered an asset.
  • Minimum of 2-3 years of administrative or clerical experience, preferably within an industrial, construction, or HSE-focused environment, including experience supporting contractor management processes.
  • Demonstrated experience with Contractor Management programs, including maintaining contractor compliance records (e.g., certificates of insurance, WCB, COR), and working with third-party compliance systems such as ISNetworld or ComplyWorks.
  • Foundational knowledge of Canadian occupational health and safety legislation (federal and provincial) is considered an asset.
  • Strong customer service orientation with excellent interpersonal skills, and the ability to build and maintain effective working relationships across all levels of the organization.
  • Highly organized, self-motivated individual capable of thriving in a fast-paced, dynamic environment while consistently delivering high-quality work.
  • Demonstrated problem-solving abilities, with the capacity to identify issues, evaluate options, and implement timely and effective solutions.
  • Excellent organizational, time management, and planning skills, with the ability to prioritize tasks and manage multiple responsibilities efficiently.
  • Strong verbal and written communication skills, with the ability to convey information clearly and professionally.
  • Detail-oriented with a high degree of accuracy, and the ability to handle sensitive and confidential information with discretion and professionalism.
