bp is looking for a Logistics Admin Assistant to join our Lubricants Supply Chain team at the Durban Warehouse.

In this role, you will provide essential administrative and operational support to the Logistics Supply Chain team. You will help ensure that documentation, purchase orders, invoicing, proof of delivery records, loss control activities, and daily reporting are completed accurately and on time.

This role is important in supporting smooth warehouse operations, month-end processes, accurate sales volume reporting, timely invoicing, and effective document control across the supply chain operation.

What you will do

As Logistics Admin Assistant, you will support the team with a range of logistics, administrative, reporting, and document control activities.

Your responsibilities will include:

  • Completing loss control for Masana orders, relevant credit notes, and packed orders in line with month-end deadlines.
  • Managing loss control for bulk orders to support accurate month-end reporting.
  • Updating the weekly Masana loss control report and sharing updates with management.
  • Supporting Masana PODs, order execution, dummy picks, and order cancellations.
  • Capturing and processing supplier and third-party orders in JDE.
  • Checking invoices and supporting invoice accuracy.
  • Creating new purchase orders and receipting purchase orders in JDE.
  • Coding and receipting transactions on OTPS.
  • Managing POD control, filing, and documentation for microfilming.
  • Updating the outstanding POD report and following up on missing PODs.
  • Managing, ordering, and controlling stationery requirements for the Supply Chain team.
  • Providing general administrative support to the warehouse team, including scanning, filing, purchase order creation, and service-based order receipting.
  • Providing back-up support to the National Inventory Controller and Logistics Coordinator when required.
  • Assisting with monthly stock take activities.
  • Preparing and updating daily reports, including daily statistics, exceptions reports, and outstanding orders reports.
  • Supporting the F2103 process for Supply Chain.
  • Supporting process improvement and streamlining activities across Africa Supply Chain.

What you will need to be successful

We are looking for someone who is organised, detail-focused, and comfortable working in a busy warehouse and supply chain environment.

You should have:

  • Matric, plus a relevant tertiary qualification.
  • 2 to 3 years of experience in general office administration.
  • Exposure to finance, invoice processing, or purchase order processes.
  • Strong Excel skills.
  • General computer literacy, including Microsoft Office.
  • Experience working with ERP systems; JDE experience would be advantageous.
  • Good understanding of filing, document control, and administrative processes.
  • Strong attention to detail and the ability to work accurately.
  • Ability to prioritise tasks, especially during month-end periods.
  • A team-focused mindset and willingness to support others when needed.
  • A proactive attitude and willingness to go the extra mile.
