Wells Administrative Assistant (Local Talent)
Position Details
• Position Title: Wells Administrative Assistant
• Department: Wells / Drilling & Rigless Operations
• Location: Majnoon Oil Field - Basra, Iraq
• Reports to: Wells Manager
• Directs Reports: None
Role Purpose
• The Wells Administrative Assistant provides comprehensive administrative and coordination support to the Wells Team to ensure efficient execution of onshore drilling, workover, and rigless operations.
• The role supports personnel logistics, document control, operational administration, and coordination between field teams, contractors, and corporate support functions while ensuring compliance with company procedures and local regulatory requirements.
Key Responsibilities
• Maintain and track visa status of all Wells personnel and contractors.
• Monitor validity and renewal requirements for:
• Work visas
-Residency permits
-Field access passes
-Security clearances
• Maintain accurate field pass records and coordinate renewals with relevant authorities.
• Track personnel rotations, mobilizations, and demobilizations.
• Maintain personnel movement logs and field accommodation records.
• Coordinate travel arrangements with the Company Travel Department including flights, rotations, and logistics planning.

Operational Administrative Support
- Provide day-to-day administrative support to Wells Management and field operations teams.
- Assist with preparation of operational reports, trackers, and correspondence.
- Support mobilization and onboarding of new personnel.
- Maintain updated organizational charts and contact lists.
- Arrange meetings, logistics coordination, and administrative scheduling
Tendering & Commercial Support
- Assist the Wells Team with tendering activities including:
- Preparation of tender documentation packages
- Compilation of bidder submissions
- Administrative support during technical evaluations
- Maintain tender records and document registers.
- Support commercial teams as required during procurement processes.
Service Ticket & Invoice Administration
- Assist in verification and tracking of contractor service tickets.
- Support review and checking of invoices against approved service records.
- Maintain invoice tracking logs to support timely payment processing.
- Coordinate with Finance and Contracts teams to resolve administrative discrepancies
Document Control
- Provide accurate document control support in accordance with Company procedures.
- Maintain electronic and hardcopy filing systems for Wells documentation including:
- Operational reports
- Procedures
- Contracts and service records
- Technical documentation
- Ensure controlled distribution, revision tracking, and document archiving.
- Maintain confidentiality and document integrity at all times
Translation & Communication Support
- Assist with translation of documents between English and Arabic (as applicable).
- Support communication between expatriate staff, local personnel, and external stakeholders.
- Assist preparation of bilingual correspondence when required.
Compliance & HSE Support
- Support adherence to Company HSE policies and operational procedures.
- Ensure administrative records required for audits and compliance reviews are maintained.
- Assist Wells Team during internal and external audits
Required Qualifications & Experience
- Diploma or bachelor's degree in business administration, Management, or related discipline (preferred).
- Minimum 3-5 years' experience in oil & gas field administration or project support roles.
- Previous experience supporting drilling, wells, or field operations preferred.
- Experience working in Iraq oilfield operations environment is advantageous
- Experience supporting Wells/Drilling SAP workflows (advantage).
- Strong analytical and communication skills.
