The role is responsible for supporting crew change execution, personnel readiness, equipment and materials coordination, service documentation, customer invoicing support, and internal system updates to ensure safe, compliant, and efficient delivery of offshore operations. This position plays a critical role in maintaining operational continuity, supporting field mobilization requirements, and improving service execution and cashflow performance.
Responsibilities:
- Support customer invoice compilation and timely submission through client invoicing systems such as BP PIT to help reduce DSO and improve cashflow performance for offshore service operations.
- Follow up on invoice submissions in client systems, including CTX approval, invoice endorsement, and document completeness required for payment processing.
- Assist with the preparation and submission of commercial and supporting documentation, ensuring values are reflected correctly net of withholding tax where applicable.
- Create and administer OQs for third-party repairs, spare parts, new equipment, intercompany transfers, and external purchase order requirements in support of MPD and offshore operational readiness.
- Prepare recurring monthly OQs in line with operational demand, equipment support requirements, and commercial commitments.
- Assist with monthly SO&P planning activities to support workforce planning, equipment availability, and service execution requirements.
- Search Endeca and coordinate with MPD Operations Management, Operations Supervisors, and the R&M function to identify replacement equipment, repair requirements, and critical spare parts for offshore readiness.
- Liaise with the client and relevant base contacts to communicate crew names, obtain check-in times, and support smooth offshore personnel mobilization.
- Communicate check-in instructions, logistics requirements, and mobilization details to offshore personnel in a timely manner.
- Manage staff house administration for field personnel, including occupancy control, records management, and associated service bills.
- Ensure offshore personnel hold valid mandatory training, rig-specific inductions, offshore survival certification, and approved medicals, and maintain up-to-date records including customer training matrices and readiness trackers.
- Ensure offshore personnel are properly registered and accurately reflected in the Vantage system and other internal personnel tracking tools.
- Coordinate transport to and from check-in locations and issue clear mobilization instructions to drivers and support personnel in line with base and client requirements.
- Support administration of service tickets, including review, recording, filing, and submission for invoicing, while ensuring operational documentation is stored correctly in the MPD SharePoint site.
- Maintain and update the POB utilization sheet to support personnel planning and offshore manpower visibility.
- Track offshore annual leave and maintain the holiday planner to support crew rotation planning and manpower availability.
- Create and process delivery tickets in JD Edwards for equipment, tools, and materials dispatched offshore, ensuring timely and accurate system closure.
- Receive and process all purchase orders related to personnel logistics, mobilization support, and operational service delivery activities.
- Complete offshore crew utilization records in SharePoint and Microsoft Teams to support reporting and operational planning.
- Assist with month-end closing, reporting, and supporting documentation required by operations and finance.
- Provide administrative support for Caspian region oil and gas activities as assigned by line management.
- Support coordination of equipment movements between A&I and Personnel Logistics, including export, import, temporary movement, and inventory write-off activities.
- Assist with logistics, materials, and documentation tasks related to offshore support activities as directed by management.
- Prepare project and operational documentation packs, including certification files, service records, and supporting compliance documentation.
- Track purchase orders and delivery milestones, including S2 and S9 status updates, to support timely equipment and material availability.
- Support equipment and personnel redeployment activities across offshore and operational locations as required.
- Coordinate daily logistics with drivers, offshore personnel, and support teams to ensure smooth mobilization and movement.
- Coordinate travel arrangements through approved travel providers in line with offshore crew change and operational requirements.
- Create service tickets and review them with responsible personnel before submission to ensure accuracy and completeness.
- Update demand requirements in JD Edwards and coordinate closely with R&M and A&I teams on related follow-up actions.
- Carry out any other delegated responsibilities assigned by line management, provided such tasks are reasonable and within the employee's competence and capability.
Skills:
- Experience supporting oil and gas, offshore, drilling, or oilfield service operations in an operations support, personnel logistics, project administration, or service coordination role.
- Strong understanding of offshore crew change processes, mobilization planning, check-in requirements, and personnel readiness controls.
- Ability to manage training, medical, certification, and induction records required for offshore personnel deployment.
- Working knowledge of service ticket administration, purchase orders, delivery tickets, customer invoicing support, and month-end operational reporting.
- Familiarity with enterprise systems such as JD Edwards, Vantage, SharePoint, Microsoft Teams, Endeca, or similar oilfield business systems.
- Good coordination skills for equipment movements, spare parts follow-up, repair tracking, and material readiness for offshore operations.
- Strong communication skills to coordinate with rig personnel, offshore crews, drivers, client representatives, internal departments, and third-party vendors.
- Attention to detail when handling operational records, certification packs, utilization sheets, service documentation, and client-submitted documents.
- Basic commercial awareness, including understanding of DSO, cashflow impact, invoice follow-up, and the importance of timely and accurate documentation.
- Ability to work under pressure, respond to changing operational priorities, and support a 24/7 service environment when required.
- Strong organizational skills with the ability to track multiple personnel, logistics, and documentation activities simultaneously.
- Commitment to HSE, compliance, confidentiality, and procedural accuracy in support of offshore operations.
Qualifications:
- Minimum 2 years of previous experience in department technical/ admin support, oil and gas experience would be preference
- Previous experience working with offshore crew change coordination, personnel and support materials logistics, field mobilization, or operational support environments.
- Service documentation workflows, and operational reporting requirements.
- Understanding of offshore personnel compliance requirements, including training matrices, survival certification, medical fitness, and rig-specific induction tracking.
- Ability to communicate effectively in English (intermediate proficiency)
