Position Summary
The Vendor Coordinator is responsible for managing the end-to-end coordination of vendor mobilization and mission execution. This role acts as the interface between internal disciplines, vendors, administration, and procurement teams to ensure smooth onboarding, execution, and closure of vendor assignments.

Position Summary
The Vendor Coordinator is responsible for managing the end-to-end coordination of vendor mobilization and mission execution. This role acts as the interface between internal disciplines, vendors, administration, and procurement teams to ensure smooth onboarding, execution, and closure of vendor assignments.
Key Responsibilities
1. Vendor Mobilization Planning
- Collect and consolidate vendor mobilization requirements from different disciplines.
- Ensure clarity on scope of work, timing, duration, and specific requirements for each vendor assignment.
- Maintain an updated overview of all upcoming and ongoing vendor mobilizations.
2. Vendor Engagement & Data Collection
- Liaise directly with vendors to organize missions.
- Collect and verify vendor representative details, including:
- Full name
- Passport number
- Nationality
- Contact details
- Certifications (if required)
- Ensure all information is accurate and compliant with project requirements.
3. Administrative Coordination
- Coordinate with the local administration team to arrange:
- Visa applications
- Work permits
- Accommodation
- Transportation (if applicable)
- Ensure all logistics are prepared in advance of vendor arrival.
4. Procurement Coordination
- Interface with the Procurement team to initiate and follow up on purchase orders.
- Ensure timely issuance of contracts and service orders aligned with the agreed scope and schedule.
- Track procurement status to avoid delays in vendor mobilization.
5. On-Site Vendor Reception
- Welcome vendors upon arrival on site.
- Provide necessary documentation, including:
- Time sheets
- Daily report templates
- Ensure vendors are registered and attend mandatory HSE induction.
- Escort vendors to the requesting discipline/contact person for assignment start.
6. Mission Monitoring & Support
- Act as focal point for vendor-related coordination during the mission.
- Ensure proper use and completion of time sheets and daily reports.
- Support issue resolution related to vendor activities.
7. Mission Close-Out
- Collect, verify, and archive all completed documentation, including:
- Signed time sheets (validated by all relevant parties)
- Daily reports
- Ensure documentation is complete for invoicing and record-keeping purposes.
- Maintain organized records for audit and tracking purposes.
