The Payroll Specialist - EMEA, is responsible for delivering accurate, compliant, and timely payroll processing across multiple countries within the EMEA region. This role supports end-to-end payroll operations, ensures adherence to local statutory and tax regulations, and partners closely with HR, Finance, and external payroll vendors to maintain high standards of service delivery.
Responsibilities
- Process end-to-end payroll for multiple countries across the EMEA region, ensuring accuracy, timeliness, and compliance with local legislation.
- Manage monthly, bi-weekly, or off-cycle payroll runs in coordination with regional payroll calendars and deadlines.
- Ensure compliance with country-specific statutory requirements, including tax, social security, pensions, benefits, and labor laws.
- Partner with external payroll vendors and local authorities to validate payroll inputs, outputs, and statutory filings.
- Review and validate payroll inputs such as new hires, terminations, salary changes, bonuses, commissions, overtime, and leave data.
- Reconcile payroll reports, general ledger entries, tax filings, and benefit deductions; resolve discrepancies in a timely manner.
- Coordinate with HR, Finance, and Global Payroll teams to ensure accurate employee master data and payroll accounting.
- Handle payroll-related employee queries across the EMEA region through ticketing systems or shared mailboxes, ensuring timely resolution and high service standards.
- Support month-end, quarter-end, and year-end activities, including payroll accruals, audits, statutory reporting, and financial reconciliations.
- Prepare and validate payroll reports for internal stakeholders, including finance, audit, and management teams.
- Ensure secure handling of confidential payroll and employee data in compliance with data privacy regulations (e.g., GDPR).
- Support internal and external audits by providing payroll documentation, reports, and explanations as required.
- Drive continuous improvement of payroll processes, controls, documentation, and standard operating procedures.
- Participate in payroll transitions, system implementations, upgrades, and regional harmonization initiatives.
- Maintain up-to-date knowledge of EMEA payroll legislation, tax changes, and best practices.
- Support ad-hoc payroll-related projects and process improvement initiatives as assigned.
Qualifications
- Bachelor's degree in Finance, Accounting, or Business Administration.
- 3-6 years of experience in payroll accounting
- Experience working in engineering, consulting, construction management, or professional services industries preferred
- Experience supporting international project environments is a plus
- Experience with ERP systems (Deltek Vantagepoint, SAP, Oracle, or similar)
- Strong Microsoft Excel skills
- Understanding of project financial management and billing processes
- Familiarity with multi-currency transactions and international billing environments
- Strong attention to detail and accuracy
- Ability to manage multiple projects and deadlines simultaneously
- Strong communication skills when working with international teams
- Ability to work independently and proactively resolve issues
- Strong organizational and analytical skills
