Airswift are partnered with an Energy provider and have a role of Senior Administration Assistant to work on 12 months contract assignment in Perth, WA.
Objectives:       
  • Provide a high standard of administrative support and services to GM HR, HR & Services Management and team.
  • Manage the confidentiality associated within this role in a professional manner.    
Responsibilities :
Occupational Health and Safety
  • Conduct all activities in a safe and efficient manner in accordance with the company’s policies and procedures. At all times, ensure the welfare of personnel and the protection of our assets and the environment.    
HR Administration
  • Providing administrative support and services to the GM HR & Services and HR & Services Managers and teams.
  • GM HR & Services diary management.
  • Arrange travel via Concur and Integrated Roster Coordinators for HR & Services Managers.
  • Reconcile expense via Concur for HR & Services Manager.
  • Assist GM HR with HR budget and Budget Assurance. Provide support to the HRM’s where required in the role out and upload of the new WP&B 3rd party, Capacity and TW budgets.
  • Assist the HR & Services Team with preparation/processing of purchase requisitions, purchase orders and goods receipting.
  • Order PPE for HR & Services Team as required.
  • Complete tracking of spend against budget lines.
  • Work with GMHR and Finance to monitor spend against budget where required to correct inaccuracies in the HR Budget and expenditure
  • Initiate reconciliations where required.
  • HR Weekly Reporting
  • Take minutes at weekly HR Management Meeting
  • Prepare weekly meeting notes:
  • Coordinate weekly HR reporting for Corporate Coordination GM meeting and also Combined and Corporate & Technical Leadership Meetings.
  • Coordinate monthly Board reporting.
  • Provide the HR & Services team with weekly reporting updates.
  • Assist with coordination of HR Master Classes and Forums.         
  • Develop strong working relationships with GM HR & Services and HR Management team.
  • Foster a ‘service culture’ within the Human Resources Team.
  • Participate in at least 3 HSE activities (e.g., floor warden, first-aider, FST, wellness activities, etc).
  • Meet all mandatory training requirements by due dates.
  • Accurate and timely time writing.
  • Represent the Company professionally as required from time to time.
  • Assist team members during periods of heavy workload.
Qualifications: 
  • Year 12 plus TAFE / Certificate IV Level Business Administration Course
  • Strong verbal and written communication skills and high attention to detail.
  • Well-developed administrative and organisational skills.
  • Excellent PC Skills. Ability to utilise a range of software packages, including MS Office (Word, PowerPoint, Excel), SAP, Outlook.
  • Time management and prioritising skills.
  • Ability to work independently and use initiative as well as form part of a dynamic and effective team.
  • Willingness to learn and acquire generalist HR skills.
  • Flexible and adaptable to the varied tasks.
  • Must be able to work with integrity and maintain confidentiality.
